FLSA: Administrative exemption


Summary: An incumbent in this position is responsible for organizing, planning, coordinating, and conducting 

Activities to promote the City of Pontiac and events that take place therein. 


Supervision 

Supervision Received: Works independently under the broad general supervision of the Mayor 


Supervision Given: none 


Job Environment 

· City Hall

· Has regular, daily contact with personnel, and residents answering questions and solving problems. 

· Has access to public information files in the computer systems. 

· Errors could result in damage to or loss of information resulting in legal consequences to the City. 

· When representing the City at events outside of the office, the environment may include indoor or outdoor venues, which are subject to environmental conditions beyond the control of management. Noise levels may be elevated at some events.

Essential Functions

PUBLIC RELATIONS FUNCTIONS

• Manage inbound press inquiries, fulfilling image and sample requests and credit sheets 

• Facilitate an ongoing dialogue with key media contacts across home and lifestyle publications including print, broadcast, and online mediums to drive proactive and reactive press coverage. 

• Maintain a current database of media contacts organized by medium, location, and news beat. 

• Research and identify relevant contacts for targeted outreach. 

• With manager oversight, initiate the drafting of core press materials needed to generate press coverage including press releases.

• Support event production needs including special event coordination, product trafficking, briefing books, and staffing. 

• Maintain an ongoing awareness of trends in the press and social media landscape to help identify opportunities for brand partnerships.

· Monitor the media cycle daily and ensure internal teams are informed of industry, media, and thought leadership opportunities and awards. 

· Promote activities offered in the city. 

· Establish and maintain relationships with various groups, participants, and the public. 

· Establish and maintain relationships with media outlets. 

· Serves as a liaison between the City Hall and constituents. 

· Other duties as assigned


ADMINISTRATIVE FUNCTIONS

· Manage administrative duties including maintaining the team calendar to reflect key brand moments and timelines, invoice processing, and organizing on-site activities.

· Track, monitor, and report incoming press coverage on a daily + weekly basis and support monthly internal reporting and analysis of performance. 


QUALIFICATIONS

· BA/BS in PR/Marketing/Journalism/Communications preferred 

· 1-2 years of PR, influencer marketing, communications, events, and/or marketing experience in a professional setting. 

·  Strong oral and interpersonal skills. Can communicate professionally, effectively, and concisely with ease. 

· Sharp writing skills. Has some experience drafting formal media-facing and executive-ready documents. 

· Excellent organizational skills and meticulous attention to detail. 

· Proven ability to juggle multiple tasks, prioritize your to-do list, be resourceful and complete responsibilities in a fast-paced environment. 

· Understand timelines and plan accordingly to meet deadlines. 

· Ability to adapt to changing situations and problem solve. 

· Experience with PR platforms including Cision and/or Trendkite 

· Experience with Photoshop (basic skills) Marketing

· Spanish preferred
