Description

  

Key Responsibilities:

Compile and sort documents, such as invoices and checks, substantiating business transactions. 

Review vouchers, invoices, and checks for accuracy. 

Verify and post details of business transactions.

Retrieve mail from the post office box 

Prepare cash deposit and deliver to the bank

  • Match incoming vendor invoices with approved purchase orders
  • Obtain proper approval for invoices that do not have purchase orders
  • Input all invoices/check requests into accounting software 
  • Assist in processing payments (checks) for vendors
  • Get signatures on checks (2 live signatures from authorized staff)
  • Prepare checks for mailing
  • Assist in investigating vendor statements as assigned by Director of Finance
  • Maintain vendor files
  • Allocate and reconcile certain expenses to departments per Director of Finance
  • Assist Director of Finance in 1099 filings
  • Assist with preparing grant reimbursement billing packages 
  • Assist in reconciling  general ledger accounts with various registers 
  • Assist Director of Finance in preparation for year-end audit 
  • Process agency payments as needed
  • Assist employees, vendors, or agencies by answering questions related to accounts, procedures, and      services
  • Assist with the overflow of phones calls and backup front desk 
  • Other duties as assigned 
Requirements

  

Qualifications:

· Associate degree in Finance or Accounting or 3+ years of related experience, preferably in a non-profit environment 

· Proficiency in QuickBooks 

· Strong analytical skills

· Strong communication and interpersonal skills

· Detail oriented and highly organized

· Strong sound judgment and high professional ethics.

· Ability to work independently and as part of a team

· Ability to perform multiple tasks simultaneously.

· Exhibits a professional demeanor and respect of others’ opinions and participation. 

· Proficiency using databases and Microsoft Office Professional Suite. 

· Valid Alabama driver’s license and vehicle insurance.

· Must pass a background and credit screening
