Location: Philadelphia, PA (currently remote, hybrid remote-in office Spring 22)

Job Status: FT, non-exempt  

Reports to: Executive Director, MENTOR Independence Region 

Effective Date: 05/2022

Salary: $36-40K/yr


AGENCY OVERVIEW

MENTOR Independence Region (MIR), a department of Big Brothers Big Sisters Independence, shares the mission to ignite the power and promise of youth and close the mentoring gap, by creating and supporting one-to-one mentoring relationships and strengthening the quality of the mentoring field.  MIR seeks to strengthen relationship-based support for all youth through formal and informal strategies.  MIR provides services to mentoring programs, nonprofits, educational institutions and corporations in service of increasing the quality and quantity of support to young people across Eastern Pennsylvania.  


JOB DESCRIPTION

Reporting to the Executive Director of MIR, the Coordinator provides support and coordination for key events and processes that lead to efficient delivery of high-quality services and satisfied clients. The Coordinator is responsible for outreach to mentoring programs, administering several key database systems, and providing operational and logistical support for events and client services.  


Candidates with a strong connection to the community that MIR and BBBSI serves and the Southeastern Pennsylvania/Southern New Jersey area are given preferential consideration. Occasional travel to events is required, as is some nights and weekend work. 


JOB RESPONSIBILITIES


Mentoring Connector Administration 

  • Administer the Mentoring Connector Database, including onboarding organizations, maintenance, and follow up 
  • Conduct outreach to area mentoring programs to engage them in the Mentoring Connector as a recruitment tool 

National Mentoring Resource Center Portal Administration  

  • Facilitate work flow, including data entry, for incoming, current, and ending NMRC Technical Assistance (TA) engagements in the NMRC Portal 
  • Coordinate logistics for outreach, initial meetings, recommended resources, & final reporting

Operational support for events and trainings 

  • Creating Eventbrite pages, scheduling Zoom meetings, and calendaring  
  • Coordinating event space reservation, food orders, etc. and payments 
  • Recording data into Salesforce and other needed systems 

Administrative support for Consultant Model and Earned Income Engagements 

  • Draft Contracts for Consultants working on behalf of MENTOR IR (based on template) 
  • Draft Proposals and Letters of Agreement for Clients (based on templates) 
  • Coordinate and draft outgoing invoices; coordinate incoming invoices 


JOB QUALIFICATIONS 

Academic Requirements:  High School Diploma and 5-7 years of work experience in an administrative or computer-based customer service function OR Bachelor’s Degree and 1-3 years related experience. 

Professional requirements: Applicant must have proficiency with Microsoft Office Products and experience with CRM software.  Applicant must have the ability to work with diverse constituents and will have experience in a nonprofit/human services field or customer service.  Applicant must possess strong interpersonal skills, organizational skills, and a customer service focus.  Must have the ability to periodically attend meetings and/or events in the greater Philadelphia Region.
