SUMMARY OF RESPONSIBILITES
Reporting to the Director of Institutional Advancement, the Associate Director will be responsible for implementing, executing, and maintaining donor relations and stewardship activities for special constituency donors including, but not limited to donors recognized through annual giving to the President’s Circle and planned giving Legacy Circle, and other friends of IAIA. The incumbent will work collaboratively with the Institutional Advancement team, IAIA faculty, and IAIA Foundation Advancement Committee to cultivate and solicit donors and sponsors for gifts to meet IAIA development priorities.
Duties include developing and managing philanthropic relationships with constituents and diverse partners, stewarding a portfolio of 75+ donors, creating and executing advancement events for donor/prospect cultivation and stewardship, collaborating on and creatively supporting the growth in Foundation assets to support long-term funding goals. The incumbent will support IAIA’s mission, vision, and core values.
ESSENTIAL POSITION FUNCTIONS
In collaboration with DIA, develops, manages, and evaluates fundraising activities for donors, sponsors, and grant-making organizations to meet or exceed organizational goals.
- Develop, monitor, and adjust strategic and ongoing action plans for cultivating, soliciting, and stewarding assigned donor portfolio and prospects.
- Maintain and document communication (in person or in writing, by phone or email) with prospective and current donors in portfolio to maintain and strengthen donor relationships. Upload visit reports and communication to the donor database.
- Develop stewardship plan that monitors status of fundraising goals and performance metrics.
- Fully utilize available tools and resources to qualify, identify, and cultivate prospective major donors as well as to continually evaluate the potential of current major donors.
- Working with the Advancement Services Manager, create gift agreements and pledge forms for donors and provide gift and endowment performance reports for donors.
- Assist with IAIA Foundation Board orientation and training, and support implementation of the Governance Committee and Advancement Committee.
- Coordinate and manage the participation of administrators, academic leaders, and development staff in Employee Giving Campaign.
- Collaborate with Alumni and Donor Relations Manager to implement the OIA fundraising activities for events, annual and year-end giving, and special projects with Alumni.
Associate Director of Advancement will provide oversight on fundraising campaigns, Legacy Circle and President’s Circle programs, event sponsorship solicitations, and select long-term projects.
- Assist Advancement Director with fundraising plans and strategies, timelines, budgets, marketing collateral, and other deliverables.
- Manage portfolio of senior leadership and volunteer stakeholders, such as IAIA Foundation board members and their prospects.
- Oversee development and implementation of cultivation and stewardship activities for annual, capital, and endowment campaigns and projects.
- Develop innovative fundraising and donor engagement strategies and work with team to implement.
- Assist the Advancement Director with development of donor communications and materials in support of fundraising projects, events and activities, including direct mail, digital communication, and telemarketing appeals, Support webpage content, and other materials.
- Collaborate with the Advancement Director and offer leadership to OIA staff, cross-functional teams, and external partners.
- Create, manage, and implement events for President’s Circle and Legacy Circle members, and the annual scholarship fundraising event and auction.
- Other duties as assigned.
REQUIRED EXPERIENCE AND EDUCATION
Must have a bachelor’s degree in a related discipline (business, marketing, communications, other) and at least five (5) years of successful experience in major gifts, planned giving, campaign management, other fundraising, preferably in higher education or a nonprofit arts organization. Preferred: Master’s degree and experience working with American Indian and/or Alaska Native cultures.
REQUIRED SKILLS, KNOWLEDGE, AND ABILITIES
- Demonstrated experience of major donor strategies, including prospect contact, donor engagement, cultivation, solicitation, and stewardship.
- Highly dynamic professional with a track record of building donor relationships and closing gifts in the five to six-figure range.
- Embrace the IAIA mission and understand the needs and interests of IAIA leadership and major gift donors that will develop long-term supportive relationships.
- Dedication to promoting IAIA fundraising priorities through developing excellent relationships with faculty, senior academic leaders, Trustees, the IAIA Foundation Board, volunteers, and the OIA team.
- Demonstrate knowledge of fund-raising database software (such as Blackbaud Raiser’s Edge) including prospect management and donor research, performance reporting, gift entry and donor acknowledgements, and constituent data entry and data maintenance.
- Demonstrated experience with standard office software, including MS Word, MS Excel, MS Outlook, PowerPoint, and others.
- Familiarity with online giving software or landing page development and e-marketing communication software.
- Demonstrated leadership in successfully managing multi-functional projects in a complex organization that deliver strong fundraising results.
- Excellent interpersonal skills and ability/sensitivity needed to work within a diverse community.

- Requires attendance at planned and off-campus Advancement activities including fundraising events, special events, Trustee engagements, photo sessions, and other department-related occasions often outside of daily work hours or on weekends.
- Must be willing and able to travel regionally and on occasion nationally.
- Work is performed in an office environment and at a desk, across campus, and off site.
- Ability to use a wide range of computer applications with proficiency.
- Ability to effectively use a desk keyboard/computer workstation for extended periods of time.
- Communication skills using the verbal and written word.
- Out-of-town travel for meetings and conferences may be required using a personal or company vehicle.
