Overview

The Accrediting Bureau of Health Education Schools (ABHES) seeks an individual for the Operations and Events Specialist position. The Operations and Events Specialist is a new position and will report to the Director of Operations. The position will be located in North Bethesda, Maryland (relocation from Falls Church, Virginia, on September 1, 2022), with the option to telework one day per week. This role is responsible for the planning and execution of the annual conference and workshops and will provide event support for Commission and committee meetings. The Operations and Event Manager will also provide operational support to the Director of Operations.

Responsibilities

General Operations Support

  • Maintain the ABHES website.
  • Send mass emails through Constant Contact.
  • Provide training and support to staff and ABHES volunteers on how to submit expense reports successfully.
  • Prepare the expense report tracking system for upcoming site visit cycles (approx. 200 visits per year). 
  • Review and approve submitted expense reports for payment.
  • Provide support to the Director of Operations as needed.

Annual Conference

  • Facilitate site selection process in partnership with the Director of Operations.
  • Serve as staff liaison to the Annual Conference Committee.
  • Set up and run registration.
  • Develop and implement a marketing and communications plan.
  • Develop the program with the assistance of the Annual Conference Committee and senior leadership.
  • Secure sponsors and exhibitors, working with each to establish long-lasting relationships.
  • Identify potential keynote speakers.
  • Maintain conference website.
  • Arrange and manage F&B, AV, and other conference-related logistics.
  • Serve as primary contact for hotel and other vendors, as appropriate.
  • Responsible for all pre-and post-conference communications and reports.

Workshops (approx. 3-6 per year)

  • Set up virtual and in-person workshops in CVENT.
  • Secure meeting space for in-person workshops and serve as the primary point person for all meeting space logistics. 
  • Manage registration.
  • Responsible for post-workshop activities, including sending a post-event survey and certificates of completion.

General Event Support

  • Assist the Director of Operations with securing and planning in-person Commission and committee meetings.
Requirements


Qualifications

  • Bachelor’s degree from an accredited post-secondary institution
  • Minimum 3 years of event experience.
  • Must be proficient in Microsoft Office and Zoom.
  • Experience using CVENT or another event management system is a plus.
  • Experience using Certify or another expense management system is a plus.
  • Prior experience working in higher education, accreditation, or certification is not required but preferred
  • Travel up to 10% is required.
