Executive Assistant

The Executive Assistant is responsible for supporting C-level leadership and various office operations through calendar management, expense reporting, travel coordination and office administration. This role will include communication with senior-level personnel and external contacts to assist with company objectives. The candidate must have experience with executive team management, demonstrated ability to work independently, be detail-oriented, have excellent communication skills and have a strong administrative background. The candidate will have exposure to internal and external leadership projects and work with all teams at Arbor.

Key Responsibilities:

  • Manage and coordinate extensive and continuous calendars with clear communication to manager and frequent check-ins to ensure smooth daily operations
  • Support executive leadership by planning domestic and international travel, completing expense reports, event registrations, arranging on and offsite meetings and meeting plan assistance
  • Ensure that executive leadership is informed of priorities, deadlines and challenges
  • Maintain a welcoming environment by greeting guests, ordering meals as needed and managing office upkeep and organization 
  • Provide support to the executive team as directed to ensure that company goals and objectives are accomplished, and operations run efficiently
  • Act as representative of executive leadership regarding internal and external relations and correspondences and screening communications
  • Demonstrate initiative, professionalism and flexibility throughout frequent interruptions, conflicting priorities, and varying workloads
  • Maintain confidentiality and discretion in all aspects of team and company information
  • Provide office operational support such as maintenance of office machines, office and IT supply inventory, and general building maintenance 
  • Research and roll out systems and processes that solve operational pain points and independently seek sustainable solutions based on evolving office needs

Preferred Qualifications:

  • Bachelor's degree 
  • 4+ years of experience performing administrative functions at the executive level
  • Proficiency in Microsoft Office 365 Suite
  • Excellent written and verbal communication skills 
  • Ability to anticipate needs and be resourceful, adaptive and responsive 
  • Strong organization, multi-tasking and prioritization skills
  • Demonstrated history of successfully managing multiple concurrent calendars and maintaining one’s own workflow
  • Experience in a life sciences company preferred
