Saphire Event Group, with four boutique venues in the South Shore, is looking for talented, enthusiastic, energetic and passionate individuals to join our incredible team.


The Wedding Coordinator at Saphire Event Group is responsible for assisting the Senior Wedding Producer with the planning and execution of events for SEG properties by following SEG standards and procedures. This position is considered a Coordinator until they have the training, experience and familiarity with the Saphire Event Group policies and have proven flawless execution of 40 events.


The Coordinator is responsible for guiding our clients through the process of customizing their individual event to ensure both their personal vision and expectations are met in alignment with SEG policies.

Requirements

 

  • Works with Event Producers shadowing weddings and assists with the execution of the event checklists.
  • Conducts an initial meeting with clients to welcome them to the property and discuss details of the event including timelines, room set up, menu planning and vendor selection.
  • Works with clients throughout the process to handle all details of the event.
  • Schedules all tasks for client correspondence and reminders. Handle all client questions and concerns through the planning process and on the wedding day.
  • Works with vendors to answer questions about room setups and timelines (photographers, videographers, DJs, florists, etc.).
  • Maintains excellent interpersonal relationships with clients, guests and vendors.
  • Conducts all necessary client meetings after initial client/producer meeting, including menu meetings, two-week meetings, drop off and rehearsals.
  • During meetings, works to upsell food items and wedding services.
  • Proactively addresses any problems or upsets that may arise with couples or any other secondary contracted parties.
  • Collects contract payments as per payment schedule and final event payment.
  • On the day of, serves as the on-site contact for the client and oversees the work of all vendors, set-ups and the execution of the event and also solves any last-minute problems that may arise.
  • Sends follow-up email to the client to get 5-star reviews posted.
  • Attends BEO (Banquet Event Order) meetings and any other necessary meetings to keep the event coordinated with all departments.
  • Maintains a complete knowledge of all products and services offered.
  • Assists in general office administration to include but not limited to: filing documents, office organization, answering phones, scheduling appointments, and attending any company meetings, etc.
  • Responsible for learning and applying all SEG policies and procedures.

$40,000-$60,000
