Description

Duration: August 2022 – June 2023


Hours a week: up to 30 hours a week


Pay: $14.50 - $16.00 per hour


Location: Chaparral High School, 3850 Annie Oakley Drive, Las Vegas, NV 89121 – Portable #3


Position Overview: This position will support the Program Engagement Associate with administrative duties of the

experiential learning department for events in the 2022-23 school year. In addition, this position will assist the Program

Engagement Associate with planning events for the 2023-24 school year.

Core Responsibilities:

Data Entry/Document Processing

  • Organize and enter data on FFLV student field trip packets and student/scholar events.
  • Prepare student field trip documents for school administration.
  • Organize, enter, analyze, and report on pre/post evaluation participant data.
  • Manage RSVP process to completion of each event
  • Assist with importing data into student records and filling documents.

Planning

  • Support the planning logistics by directing a theme and décor.
  • Organize event documentation and maintain records of all bookings
  • Assist with creative decisions
  • Facilitate by ordering and setting up catering.
  • Assist with keeping track of budget.
  • Request price quotes for event logistics including; transportation, rental equipment, supplies, vendors, etc.
  • Serve as a liaison between different departments and leads.

Event Execution

  • Picking up or dropping off necessary items.
  • Attend all meetings to act as a second point of contact.
  • Troubleshoot and handle any issues that arise on the event day.
  • Maintaining communication with onsite vendors and assisting with their needs.
  • Day of event set up and take down, including going to and from our storage facility.
  • Assisting with staff roles to ensure all needs are met.
Requirements

FFLV is seeking an enthusiastic undergraduate student interested in event planning, education and college access.

Candidate must have excellent research and organization skills and a high level of attention to detail and creativity. Must

have a valid Nevada drivers license. May need to be available to work on the weekends, based on organizational needs.
