Description

The Associate Director of Special Events & Strategic Partnerships is responsible for planning, coordination, implementation, production, and logistics of Denver PrideFest and its associated events including the PRIDE 5K and Coors Light Denver Pride Parade and other pride-related events produced by The Center on Colfax. The Associate Director of Special Events & Strategic Partnerships is responsible for developing and managing over $1 million in expenses and $1.6 million in revenue for these events in conjunction with the Vice President of Development & Communication. To meet revenue goals the Associate Director of Special Events & Strategic Partnerships will handle the cultivation and solicitation of corporate, government, small business, and non-profit sponsors for Denver PrideFest, Pride 5K, and Coors Light Denver Pride Parade. Additionally this role will support the development team in other fundraising and cultivation events during the year.

 

Position Type: Full time, exempt


Pay Range: $60,000 to $65,000 annually, based on qualifications and experience.

Duties and Responsibilities:


  • Manage the production of Denver PrideFest, Pride 5K, and Coors Light Denver Pride Parade, other events associated with Denver Pride, as well as support additional fundraising events during the year.
  • Develop event expense budgets and forecast event income; successfully produce fundraising events within budget and achieving income goals. Negotiate agreements and manage vendor relationships for special events.
  • Make certain The Center complies with all permit requirements for special events including liquor licensing.
  • Supervise staff, volunteers and contractors producing special events including Event Operations Manager, Production Manager, Beverage Manager, Race Director, volunteers, interns and other personnel.
  • Cultivate relationships with corporate sponsors; negotiate sponsorship agreements and direct the implementation of sponsor activations for Denver PrideFest, Pride 5K, and the annual gala.
  •  Assess volunteer needs and recruit volunteers for special events.
  •  Manage volunteer event committees.
  •  Manage special events safety operation to ensure that all events are produced in a safe and legal manner.
  •  In cooperation with the finance department, maintain appropriate insurance coverage for special events and take necessary actions to limit The Center’s liability in conjunction with events.
  •  Manage sponsor benefits for all corporate sponsors at special events; make certain that promised sponsor benefits are fulfilled and appropriately managed.
  •  Working with others in the Development & Communications department, provide logistical support for Denver Pride VIP Area and Parade Watching Party as part of Denver PrideFest. Ensure that all catering and logistical needs are addressed, volunteer needs are met, and all supplies and rental needs are fulfilled to ensure that donors and sponsors have a positive experience.
  •  Community representative and liaison to local, city and state agencies as it pertains to special events.

Requirements
  • Self-directed, organized and flexible.
  •  Extensive logistics management experience. Minimum 5 years' experience in volunteer management and event planning production.
  • Proven ability to manage multiple complex tasks.
  • Must be an effective communicator.
  • Must be patient, flexible and able to adapt and overcome in the face of adversity.
  • Proven collaborator, team leader, and must be able to work well in a team environment.
  • Desire to work with a diverse population of volunteers.
  •  Ability to motivate and train new volunteers.
  •  Proven excellent written and oral communication skills.
  •  Demonstrate ability to successfully manage and respond to stressful situations.
  •  Demonstrate ability to develop budgets, forecast and successfully execute events within budget.
  • Computer proficient in Microsoft Office environment.
  • Ability to build relationships with and work collaboratively with internal and external stakeholders, government officials, volunteers, community members, and donors.
  • ·Ability to serve as a spokesperson for The Center may be required under some circumstances.
  • Experience with nonprofit organizations and fundraising preferred.


Working Conditions:

  • Must be available to work Denver PrideFest on the fourth weekend of every June.
  • Occasional evening and weekend work required. Work in a loud, fast paced and continually evolving professional environment.
  •  May work in outside areas.
  •  Occasional lifting up to 35 lbs. with reasonable accommodation.
  •  Frequent giving, receiving and analyzing of information. Frequent talking, writing, walking, standing, bending and stooping.
  •  Frequent use of computers, standard office equipment and Microsoft Office software on PCs.
  •  May involve some travel in and around the Denver Metro Area.
  •  Expected to work extended hours as needed.
  •  Valid Colorado driver’s license required.
