Join the Heart Math Tutoring team as an HR Support Specialist & Office Coordinator! In this role, you will play a crucial part in ensuring the efficient operation of our HR department, manage office operations, and provide support for our program and volunteer recruitment outreach.

Reporting to the Associate Director of HR and DEI and working closely with our Program and Volunteer Recruitment leaders, you will receive feedback, coaching, and training to help you excel in your role. As part of our HR shared service model, you will have the opportunity to support all our locations and initiatives, making a difference in the lives of countless students and volunteers. You will participate fully in staff-wide planning, strategy, and teambuilding, making a significant impact on our organization's success.

Success in this role is measured by your ability to complete weekly must-do items for a smooth, functioning work environment at HMT, your colleagues' feedback on their ability to complete their work without technology or HR glitches, the exceptional customer service you provide to our volunteers and students, and your completion of relevant quarterly targets.

Requirements

Human Resources Administrative Support - Responsible for providing process and transactional support for HR systems and processes to ensure the efficient operation of the HR Department.

  • Ensure timely and accurate payroll and benefits administration, including managing benefit plan enrollments, changes, and terminations. 
  • Streamline and manage the recruitment and onboarding process, from planning to HR orientation, to ensure the hiring of qualified candidates. 
  • Assist with researching policies and ensuring the organization remains HR complaint. 
  • Execution of annual plan for employee teambuilding, appreciation, and engagement opportunities

Office Manager/Administrative Support - Responsible for ensuring efficient office operations by managing office supplies, vendors, and overall functionality. Maintain a clean and orderly work environment. Manage Heart's general phone line, email, and PO Box.

  • Schedule bi-weekly PO Box checks in coordination with Development team, with increased frequency during fundraising campaigns. 
  • Work from the office at least 3 times a week to effectively support staff and maintain a useful office space for all.  
  • Technology Management- Manage technology operations and support staff needs to ensure seamless operations. This includes administering computer setups, managing inventory, and overseeing distribution/collection of company-owned technology materials. 

Program Support – 

  • Students Assessments - Provide on-site support at Assessment sessions to measure students’ math competencies (Fall/Spring).
  • Act as a substitute for tutors, as needed, and provide additional targeted support at tutoring sessions as directed.
  • Volunteer as an HMT tutor throughout the school year.
  • Support other HMT initiatives and locations.
  • Collaborate with Heart team to report and identify operational strengths, troubleshoot challenges, and help establish a robust, scalable program model. 

Volunteer Recruitment Support – Collaborate with the Director of Development and Community Engagement to recruit volunteers during the peak season.

  • Recruit and steward new and existing volunteer and community partnerships.
  • Serve as an account manager for assigned group or organization partners while also providing support and backup to teammates to meet recruitment goals.

Other duties as assigned. 


Education and Experience

  • Bachelor Degree in Human Resources, Business, or a related field and/or equivalent education and experience.
  • One to two years in a Human Resources role in a professional environment.
  • Demonstrated experience utilizing a HRIS system. Experience with Paylocity a plus.
  • Demonstrated advanced experience in organization and planning with the ability to multitask, prioritize. and meet deadlines.
  • Ability to gather and analyze information skillfully and exercise independent judgement with minimal supervision.


Skills Requirements

  • Excellent organizational skills. 
  • Strong attention to detail with excellent follow-up and follow through skills.
  • Advanced verbal and written communication, interpersonal, and customer service skills.
  • Proficient in Microsoft Office, Google Suite, Zoom, Salesforce, and Dropbox. 
  • Must have the ability to always maintain confidentiality when dealing with HIPPA, compensation, and other HR and personnel matters. 
  • Ability to function well in a startup environment and at times, high-paced environment.
  • Ability to work effectively both independently and as a team player within a flexible work schedule.

Compensation and benefits: This 12-month full-time exempt position with salary range of $42,000 - $44,000. HMT currently offers company-based healthcare, dental and vision, life insurance, and short-term disability. A company-sponsored 401K retirement plan begins following 1 year of employment.
