The Admissions Coordinator is responsible for administering the admission procedures by communicating, collecting, organizing, and providing information as well as being an effective resource to clients’ families and Muir Wood staff, ensuring a smooth and organized admissions process. This position focuses on being a resource to the families and introducing them to the programs offered.
Muir Wood Adolescent & Family Services is a residential treatment program designed specifically for teens ages 12-17 suffering from mental health and substance use conditions. The Muir Wood environment helps build strong peer relationships essential in early recovery, many of which blossom into enduring friendships. Our programs fill a crucial need by making mental healthcare available to the vast majority of families in need.
Shift to start: Monday -Friday
After training period, ability to work weekends required
Functions and Responsibilities
- Answer intake line promptly and professional including after hours and weekends
- Return missed calls and voicemails from CTM
- Documentation of results of VOB’s uploaded in real time and collaboration with Admissions Director
- Communication with parents on insurance coverage, out-of-pocket costs, and explanation of benefits
- Provides a clear understanding of Muir Wood program to parents and assist with a smooth admission process
- Communicating with Kaiser case managers and families to insure smooth admission process
- Complete admissions screening and assessments, send out for clearance
- Assures coordination of resources with other community services and agencies
- Document all communication with referral source and families in Salesforce as well as complete all required fields in Salesforce for proper tracking and reporting
- Work closely with business development team
- Completes all admission documents efficiently through Docusign
- Creates new clients in EMR with all needed information for Muir Wood staff to treat client
- Works with Muir Wood staff to provide smooth hand off for efficient transition from admission to actual intake
- Attends trainings and staff meetings as needed
- Perform other duties as assigned by the supervisor
- 1 year experience in the admissions department in behavioral health settings preferably in a residential program.
- High School diploma required, Bachelors degree preferred
- Working knowledge of insurance verification preferred
- Valid Drivers License and reliable transportation in order to travel to various locations
- Advanced communication skills necessary to present information verbally and in writing and affectedly gather and exchange information.
Pay is $30-$33 per hour based on education and experience
