Primary Functions
Ensuring the District has the necessary supplies, materials, and equipment to operate efficiently and effectively. Responsible for warehouse data entry and backup of Warehouse Coordinator. Comply with all policies outlined in the employee handbook.
Compliance
- Maintain compliance with company policies and procedures, health and safety regulations, and industry standards
- Planning
- Monitors demand and analyzes data to anticipate future supply and logistical needs.
- Collaborates with relevant departments to plan for future inventory requirements
- Proposes strategies to reduce costs and improve procedures of supply chain logistics
Suppliers/Vendor Management
- Identifies potential suppliers, evaluates capabilities and reliability, and negotiates favorable contract terms, conditions, and prices
- Establish and maintain strong relationships with suppliers, ensuring timely delivery, quality control, and adherence to contractual agreements
- Setup and maintain vendor records
Purchasing
- Prepares and issues RFPs (Request for Proposal), RFQs (Request for Quotations), or RFIs (Request for Information) to solicit bids from suppliers
- Prepares purchase orders
- Prepare tax-exempt certificates
Price Negotiations
- Negotiate pricing, terms, and discounts with suppliers to optimize cost savings without compromising quality or service
Contract Management
- Review and analyze supplier contracts, ensuring compliance with legal requirements and company policies
- Maintain a list of the organization’s active contracts
Inventory Management
- Monitor inventory quantities and request orders as needed to avoid stockouts
- Analyze economic order quantity and set appropriate reorder points
- Enter daily inventory requisitions into the inventory system in a timely manner
- Perform interim and year-end inventory counts
- Work with coworkers and suppliers to resolve various issues with inventory, such as stocking new items, damaged items, or defective inventory
Equipment/Systems
- Operate a variety of warehouse equipment including forklifts, pallet jacks, hand trucks, dollies, and related equipment; completes daily safety checks and perform minor maintenance service on warehouse equipment
- Maintain fuel system
- Manage and maintain inventory records in EAM system
Documentation/Reporting
- Maintain requisitions, shipping documents, vehicle records, safety inspections, fuel reports, and all other records as required
- Prepare reports as requested
Uniforms
- Manage field employee uniform programs
- Review and approve uniform invoices
Other
- Propose and implement process enhancements or automation initiatives
- Cover daily responsibilities of other warehouse staff on an as-needed basis to ensure effective daily operations and delivery of services
- Performs other duties as assigned
Knowledge
- Bachelor’s degree in business administration, supply chain management or a related field or a combination of education and experience that provides the applicant with the required knowledge, skills and abilities will be considered. Relevant experience and education must have a heavy focus in the areas of procurement principles, practices, and regulations, knowledge of supply chain management and inventory control techniques.
- Experience with Enterprise Resource Planning
- Knowledge of data analysis, inventory management software, and forecasting techniques
- Strong understanding of procurement principles, practices, and regulations.
Certifications
- Must have or be able to obtain Forklift Certification
- Must have or be able to obtain Order Picker Certification
