Description

 

OVERALL PURPOSE 

Under general supervision, this position provides process management of accounts payable operations to include high level administrative support for the accounting department and community association management (CAM) team.  


ESSENTIAL FUNCTIONS 

  • Supports and assists the Accounting Manager in handling any variety of issues that may arise on a given day.  
  • Supports and assists CAM’s in handling any variety of issues that may arise on a given day relating to accounts payable.  
  • Effectively and efficiently address concerns from homeowners. 
  • Effectively and efficiently address concerns from vendors. 
  • Effectively and efficiently processes and scans association invoices in a timely manner. 
  • Maintains and keeps updated, usernames and passwords for online payments.  
  • Responsible for processing in-house check payments, including, same day and online check requests in a timely manner. 
  • Answers telephone, screens calls, transfer callers to voice mail, logging phone calls, or take messages to facilitate communications and contacts. 
  • Process and manage daily accounts payable process by utilizing the accounts payable lockbox, accounting software and other resources. 
  • Assist and/or maintains vendor profiles to include updating insurance information annually. 
  • Responsible for coordinating all check deliveries per instructions to include sending CD close out checks to new bank. 
  • AP Software Responsibilities: 
  1.      Month End Closing 
  2.      Managing user set-up and terminations 
  3.      Invoice final approval/rejection and release 
  4.      Reviewing and removing duplicate invoices 
  5.      Unassigned invoice review 
  • Sets up and maintains files, materials, information, schedules and related data. 
  • All other duties as assigned. 
Requirements

 

MINIMUM SKILLS AND QUALIFICATIONS 

  • Strong professional communication, both written and verbal. 
  • Ability to work as part of a team while also being a self-starter. 
  • Ability to work in a fast-paced environment. 
  • Ability to take direction and constructive criticism. 
  • Strong data entry skills. 
  • Shows initiative and needs minimal supervision. 
  • Proficiency in applicable Microsoft Office applications. 
  • Exceptional time management, prioritization, and organizational skills. 
  • Must be able to multi-task efficiently and effectively. 
  • 2-3 years of experience in the Accounts Payable Industry. 
  • Positive attitude. 
  • Experience in providing a high level of customer service.

PHYSICAL EFFORT REQUIRED 

  • Required to work at a personal computer and be on the phone for extended periods.  
  • Position experiences interruptions; need for frequent shifting priorities, and deadlines.  
  • This position works under usual office conditions. 
  • Ability to lift or move up to 20 lbs.
