POSITION SUMMARY: The Toyota Rent-A-Car (TRAC) Administrator is primarily responsible for ensuring all TRAC customers are provided the necessary information while renting a Toyota vehicle through the TRAC program while providing the highest level of customer service and satisfaction.

ESSENTIAL DUTIES:

· Greet all customers in a courteous and professional manner.

· Answer all incoming phone calls. 

· Learn all policies and procedures of the Toyota Rent-A-Car Program. 

· Assist the in the day-to-day operations of the department.

· Outline to customers the benefits associated with the TRAC Program, including but not limited to, the roadside assistance program.

· Ensure that potential renters are qualified to participate in the TRAC program.

· Complete rental contracts appropriately and accurately.

· Regularly review qualification standards for all rental customers and additional drivers.

· Make sure rental vehicles are cleaned, washed, and prepared for future rental customers as soon as they are returned (unless there is damage). 

· Quote prices & secure reservations. 

· Sell protection packages, upgrades, and fuel. 

· Develop new business relationships and maintain current ones. 

· Respond to rental leads. 

· Inspect vehicles for damage and report to supervisor immediately. 

· Complete damage reports and initiate insurance claims. 

· Set up billing with insurance companies and corporate accounts. 

· Demonstrate vehicle features and address concerns to renters.

· Maintain vehicle maintenance records and assist in maintaining a properly cared for rental fleet.

Requirements

  

· Follow procedures and policies set forth by management, the Employee Handbook and the Non-DOT Drug and Alcohol Policy.

· Keep a neat and orderly work station.

· Be willing to perform necessary tasks outside of normally assigned duties and responsibilities to help the Toyota Service Manager operate the TRAC Department productively and efficiently.

· Any other duties as assigned by management
