Work Schedule

This position is scheduled to work Monday, Wednesday and Friday. 


Basic Qualifications


Education/Training: A high school diploma or equivalent; Associate degree in Business-related field preferred.


Skill(s): Clearly communicates in English; moderate reading, writing, grammar, and mathematics skills; moderate interpersonal relations and communicative skills; proficient PC, keyboarding, filing, and scanning skills, including knowledge of Microsoft Office software; visual and auditory skills.


Experience: A minimum of one (1) year experience in related administrative assistant positions normally required.


General Responsibilities

Responsible for performing a variety of duties to support the Wealth Management Division; coordinating work within the division, as well as with other divisions and departments; reporting pertinent information to the immediate supervisor; responding to inquiries or requests for information.


Essential Duties

1. Performs a variety of duties to support the Wealth Management Division of which the following are illustrative: 


a. Greets current and prospective customers and refers them to appropriate representative.

b. Scan and submit all required account information and disclosure forms for each sale.

c. Performs account maintenance.

d. Prepares correspondence, memos, forms, tables, spreadsheets, reports, etc.

e. Maintains the division's record keeping systems; scans and files documents; classifies, sorts, and files correspondence, forms, reports, and other documents; maintains records and files of a confidential nature. 

f. Answers and places telephone calls; assists callers if possible or transfers calls to the proper individual; takes and delivers messages.

g. Assists customers with questions; obtains market values and tax information; processes customer account deposits and withdrawals, as appropriate; ensures accurate and confidential processing of account information.

h. Assists with gathering information for internal and external audits.

i. Opens and sorts mail; ranks mail for priority; answers routine correspondence as directed; prepares outgoing mail.

j. Maintains division’s business calendar to avoid conflicts; schedules meetings and appointments, as assigned. 

k. Maintains supplies for the division.

l. Delivers courier packages to local drop box, when necessary.


2. Coordinates specific work tasks with other personnel within the division as well as with other divisions and departments to ensure the smooth and efficient flow of information.


3. Abides by the current laws and organizational policies and procedures designed and implemented to promote an environment which is free of harassment and other forms of illegal discriminatory behavior in the workplace.


4. Cooperates with, participates in, and supports the adherence to all internal policies, procedures, and practices and external broker-dealer policies, procedures, and practices in support of risk management and overall safety and soundness.


5. Reports pertinent information to the immediate supervisor as requested, or according to an established schedule; compiles information as necessary or as directed and provides data to appropriate Bank personnel.


6. Responds to inquiries relating to his/her particular area or to requests from customers, other Bank personnel, etc., within given time frames and within established policy.

Salary Description
$17.34-$28.60
