We are currently seeking an experienced professional to be responsible for directing the registration process (preshow, onsite & post event) managing housing contractors for city-wide events and overseeing transportation services.  Essential functions include:


  • Write RFPs, negotiate vendor contracts, and supervise vendors for registration, housing (city-wide) and transportation services 
  • Develop the registration flow, create registration specs and test sites to ensure registration process is streamlined and functions properly
  • Periodically research and analyze new innovative technology to ensure process efficiency
  • Partner with internal stakeholders and external vendors on registration strategy
  • Develop accurate budgets, reconcile monthly financial reports, submit timely budget projections, manage expenses; and identify cost-saving opportunities 
  • Review post-show registration financial data and finalize post show reports
  • Monitor and manage hotel bill (city-wide) reconciliation/payment, including revenue from convention services subsidies and revenue share from registration & housing contractors
  • Work with marketing team to analyze registration data, develop reports and track registration trends for forecasting
  • Determine registration schedules and registration layout based on event schedule
  • Develop training materials for staff and temporary personnel for onsite registration at events
  • Edit and proof event marketing materials including registration banners, signage, bus schedules etc.
  • Review and improve internal and external attendee communication
  • Ensure compliance with Americans with Disabilities Act
  • Perform other duties as assigned
Requirements
  • Bachelor’s degree  or equivalent meeting planning experience required
  • Minimum 6 years of professional experience with at least 3 years direct responsibility for registration, housing, and transportation services for large city-wide events
  • Ability to successfully negotiate contracts and manage outside vendors
  • Demonstrates exceptional organizational and planning skills with great attention to detail 
  • Extensive knowledge of MS Office and familiarity with databases is a must
  • A team player with strong interpersonal (written and oral communication) and a high level of professionalism
  • Excellent time management skills, adherence to deadlines and is persistent in following up
  • Committed to providing excellent customer service
  • Ability to travel (up to 20%)

Salary Description
$95,000 - $100,000 per annum
