POSITION: Traveling Exhibits Coordinator, Props and Procedures
SUPERVISOR: Traveling Exhibits Sales Manager
CLASSIFICATION: Full-time, exempt
This position is responsible for prop fabrication, procurement and management, along with customer and procedure coordination for Traveling Exhibits. This position may procure, schedule, manage and approve work of part-time staff, interns, volunteers and outside contractors.
- Traveling Exhibit Prop Fabrication & Management: Design, prototype, and modify props and costumes for use in traveling exhibits that accommodate a variety of learning styles that are developmentally appropriate for children six months to ten years. Define and maintain adequate on-hand inventories and make recommendations to improve Traveling Exhibit prop and costume lists and processes. Order and/or fabricate prop supplies ensuring optimal inventories for exhibit operations for Traveling Exhibits. Maintain the inventory data base for props and costumes, along with the inventory system. Identify and assist in contracting vendors to create and implement specialized design, construction and prop repairs needs in all TE exhibits. Review work of outside contractors for construction quality and completeness. Work with Traveling Exhibits Sales Manager on prop and costume needs and related budgetary impacts.
- Customer Coordination: Ensure that all traveling exhibits clients are supplies with a full set of quality props and costumes. Troubleshoot, correct and document exhibit Prop issues. Develop and maintain strong relationships with current and prospective museum clients. Participate in exhibit installation at host organizations and implement prop training.
- Procedure Coordination: Develop and/or update TE exhibit manuals, marketing materials, consumables, and other assets supplied to hosts. Create exhibit graphics when needed. Assist with host marketing approvals. Assist with TE processes in Salesforce, Teams, and other systems. Work with TE Sales Manager to update data and create reports. Assist in efforts to secure bookings.
- Other duties as assigned.
- Knowledge of and experience in costume design.
- Knowledge of costume and prop construction techniques, including best uses of durable materials, and accessible design.
- Knowledge about the role of props in museum interpretation.
- Skill in operating sewing machinery and knowledge of safe shop procedures.
- Ability to work independently and in a team environment, set priorities, meets deadlines, and problem-solve quickly.
- Ability to assess props, costume, procedural needs, and communicate solutions in an effective manner.
- Experience with Salesforce and graphic design software a plus.
- Experience overseeing the work of independent contractors.
- Ability to manage expense budgets.
- Solid interpersonal skills with the demonstrated ability to develop and maintain productive relationships with staff across multiple departments.
- Strong attention to detail, follow-through, and commitment to quality.
- Demonstrates a "can-do" spirit, a sense of optimism, ownership, and commitment.
- Five years of experience in costume or props construction, or related trade.
