Job Purpose

The Business Operations Assistant will manage the front desk and work on specific projects as designated and directed. They are an assistant to the Business Operations Department and Upper Management. The Business Operations Assistant should enjoy interacting with and helping people in a friendly manner. Good organizational skills are essential because this position requires handling multiple projects at the same time. All relevant information must be accurately recorded in company databases.


Duties and Responsibilities

  • Greet visitors in a professional and friendly manner; sign them in on the Visitors Log
  • Answer door; assign packages that were delivered to the building to the proper personnel
  • Answer phone calls and direct to appropriate extension
  • Take out mail and check mailbox daily. Sort and distribute incoming mail.
  • Scan records, name them properly, and save them to the appropriate location.
  • Upload contracts to the document management system
  • Assist with company team-building events (i.e. group lunches, team building, holiday party, summer event, etc.)
  • Manage office supply requests, orders and inventory
  • Data Entry (Purchase Orders, Sales Orders, and Bills)
  • Schedule meetings for members of Upper Management using Microsoft Teams
  • Executive Assistant to Upper Management for various tasks such as reminders of open items and timelines

Additional Duties and Responsibilities

· Run errands as needed for picking up food, supplies, etc.

  • Assist with other projects as needed
Requirements
  • High school diploma required; some college preferred
  • At least 1-year office experience
  • Reliable, professional, confident, courteous and patient
  • Skills: Excellent Oral and Written communication, basic proficiency in MS Outlook, MS Word, MS Excel, and MS PowerPoint
  • Mathematics skills: a basic understanding of arithmetic and elementary algebra, such as calculation of percentages and the creation and interpretation of simple graphs

Abilities: critical thinking, problem solving, interpersonal communication, collaboration, prioritizing and managing multiple projects

Salary Description
$18-22 per hour
