Compensation (based on experience): $54,000 - $66,000


With oversight from the Esperanza Brighton Park South Health Center Manager, and at the direction of the Rush-Esperanza Family Medicine Residency (REFMR) Program Director and Esperanza Advanced Practice Provider (APP) Fellowship Director, the Assistant Educational Program Coordinator works to provide operational management of Esperanza’s medical educational programs. This role will assist the REFMR Program Coordinator and the Esperanza APP Fellowship Director with a wide range of programmatic issues including recruiting trainees, analyzing administrative workflow, maintaining databases, coordinating and creating trainee schedules, communicating with faculty and trainees, and collecting and collating documents related to program development and compliance. 


NIMAA Site Facilitator Role:

Under the supervision of Esperanza's NIMAA Medical Assistant Training Program Coordinator, The Assistant Educational Program Coordinator will be responsible for filling the role of NIMAA Site Facilitator. They will coordinate and facilitate NIMAA Skill Labs with the assistance of NIMAA staff and resources. This includes, but not limited to, the following:

  • Complete NIMAA's self-paced online Site Facilitator training (1-2 hrs).
  • Attend and facilitate on-site Skills Lab sessions (3-4 hrs, roughly twice a month).
  • Collaborate with Health Center Managers, Lead Medical Assistants, and the Facilities Team to source equipment, schedule MAs for demonstrations, and reserve space for Skills Labs.
  • Report any equipment needs to the Program Coordinator for approval to purchase.
  • Meet regularly with NIMAA instructors for skills labs guidance, preparedness, and scheduling each cohorts' skills labs.

Administrative Support for Rush-Esperanza Family Medicine Residency Program:


Assists REFMR Program Coordinator with the maintenance of accreditation for the training program, including:

  • Interprets and applies ACGME, other national accrediting agencies, and hospital policies to support compliance.
  • Ensures compliance with procedures regarding licensing, moonlighting, annual contracts, and initial and re-credentialing of trainees.
  • Assists in the preparation and coordination for ACGME Self Study, Site Visits, and internal/special reviews.  

Assists REFMR Program Coordinator with resident recruitment for the training program, including:

  • Maintains external program advertising/media through websites, brochures, postcards, publications, and other such media.
  • Maintains the ERAS database (Electronic Residency Application System) and assists with its processes during the recruitment season.
  • Assists with quota review and rank list entry and certification in NRMP (National Residency Matching Program). 
  • Communicates with applicants and coordinates interviews. 

Assists REFMR Program Coordinator with the evaluation of resident progress and program assessment, including:

  • Coordinates the evaluative processes of the trainees, program, faculty, and rotations including the distribution and collection of evaluations.
  • Maintains databases with trainee, faculty, and program evaluation data such as the MedHub educational management system.
  • Manages materials for specialty-specific trainee exams and assists with the proctoring of exams. 

Assists REFMR Program Coordinator with the coordination of residency and fellowship didactics:

  • Schedules department-level trainee orientation.
  • Prepares and distributes materials for conferences and lectures.

Provides administrative support to the residency training program:

  • Attends faculty meetings and assists with preparation of meeting agendas, maintains meeting minutes to faculty, and schedules meetings.
  • Tracks and archives documents, correspondence, educational materials, and work products of the educational program.
  • Acts as a liaison between trainees, program administration, Graduate Medical Education (GME) administration, and hospital administration when necessary.
  • Establishes relationships and acts as a liaison to other hospitals, internal departments regarding recruitment, orientation, and external rotations.
  • Collaborate with faculty for the enforcement of policy/procedure changes. May also assist with program level policy development.
  • Coordinates purchase orders for the education program. 

Performs other duties as assigned by the Program Director and/or the Associate Program Director in the maintenance of the training program.  


Administrative Support for Esperanza Advanced Program Practitioner Fellowship Program:


Assists Esperanza APP Fellowship Director with recruitment for the training program, including:

  • Communicates with applicants and coordinates interviews, including send invitations, manage virtual interview rooms, follow up with candidates.
  • Coordinates with Human Resources and interviewers in selection and offer process.

Assists Esperanza APP Fellowship Director with planning and coordinating fellow schedules, including:

  • Coordinate onboarding and credentialing needs with HR and orientation schedule.
  • Create monthly continuity clinic and specialty rotation schedules and coordinate details with faculty and fellows.
  • Plan fellowship annual events as part of recruitment, orientation, graduation, and/or retreats.
  • Arrange placement of fellows into Esperanza sites and coordinate schedules in preparation for second year.

Provide administrative support to Esperanza APP Fellowship Director including, but not limited to correspondence, calendar maintenance, fellow evaluation, program review, faculty reviews, and other responsibilities as designated by the Fellowship Director to ensure smooth operation of the residency program.


Administrative support of Esperanza Health Centers 

  • Support Esperanza Brighton Park Health Center Manager and collaborate with Site Medical Director in creating trainee and preceptor clinic schedules for distribution to other appropriate EHC personnel. May act as contact person for any schedule changes or updates.
  • Collaborate with Chief Residents to create and resident call schedules.
  • Work with facilities to assure proper functioning and maintenance of resident office facilities, decorum, IT equipment, and office equipment.
  • Supply appropriate residency program data for grant reports as needed.
  • Assist Health Center Manager with administrative needs of other medical trainees as assigned.  
Requirements
  • High School diploma or equivalent.
  • Associate degree and/or Training Administrators of Graduate Medical Education (TAGME) Certification preferred.
  • 2 years of relevant office administration experience, preferably in Graduate Medical Education (GME). 
  • A detailed understanding of national accreditation policies and hospital policies, as well as a high degree of initiative and independent judgment.
  • Excellent written and verbal communication skills.
  • Ability to organize information.
  • Ability to handle sensitive information with absolute confidentiality.
  • Working knowledge of software applications used in GME administration (ERAS, MedHub, Microsoft Suite Programs, New Innovations, et al.).
  • Ability to make decisions independently or to escalate issues as needed.
