Position Summary

Assist the Office of the Dean will the organization and administrative support of the academic educational programs of the University of Detroit Mercy School of Optometry.


Essential Duties and Responsibilities

  • Answer telephones promptly and courteously, screen all calls and take messages.
  • Maintain a daily appointment calendar for the Office of the Dean and Assistant Deans of the School of Optometry.
  • Welcome visitors to the office, schedule meetings and appointments for faculty and students, and arrange meetings for the Office of the Dean and Assistant Deans.
  • Assist in the coordination of lunch/dinner events with caterers, outside vendors, and registrations (e.g. workshops, orientation, training, planning, and accreditation meetings).
  • Work with Clinical Administration to confirm Faculty Assignments.
  • Provide assistance and support to the Office of the Dean and Assistant Deans by gathering and compiling data from curriculum and clinical schedules to assist in faculty assignments.
  • Plan, organize, set-up, and confirm candidate interview data as directed by the Office of the Dean and Assistant Deans.
  • Coordinate student and faculty events and meetings (e.g. student orientation, AOA, MOA student body meetings, faculty retreats/meetings).
  • Work closely with the Office of the Dean, Assistant Deans, and other University administration in identifying and managing academic calendars.
  • Coordinate the management of the department budget through preparation of check requests, processing of invoices, and reconciliation of credit card transactions.
  • Process faculty travel and professional dues.
  • Serve as proctor for exams when requested by the School.
  • Assist in preparing accreditation documents.
  • Assist with educational program logistics, including but not limited to scheduling of proctors, classrooms, etc.
  • Other related duties as assigned by the Office of the Dean and Assistant Deans.
Requirements


Minimum Qualifications

Education – A college degree.
Employment – Two years to five years (Equivalent Combination of Education and Employment).


Preferred Qualifications

  •  Prior experience in educational assessment.
  • Prior experience with learning management software.
  • Strong computer skills, including proficiency with Microsoft Office and Adobe Acrobat Pro.
  • Strong proofreading and research skills.
  • Familiar with room scheduling software & meeting scheduling software.
  • Familiar with Crystal EHR and/or CompuLink EHR.

Knowledge, Skills, and Abilities

  • Attention to detail and the ability to work with a team in a fast-paced environment
  • Exceptional organizational skills and an ability to meet deadlines in an efficient manner
  • Computer proficiency, specifically with MS Office and aptitude to learn new computer applications
  • Excellent verbal and written communication skills
  • Excellent interpersonal skills
  • Ability to take and transcribe notes at faculty/staff meetings
  • Ability to use independent judgment and maintain confidentiality
  • Demonstrate a quality work ethic, considers this position a priority and expects to work irregular hours at times.

Physical Requirements

Job may require lifting light weight objects (1 to 10 pounds) with no repetitive bending or stooping.


Work Environment

Regular exposure to favorable conditions such as those found in a normal office.


Salary/Pay Information

Commensurate with experience


Anticipated Schedule

Monday 8.00 AM to 5.30 PM
