Denver Botanic Gardens is currently seeking a Seasonal Private Events Associate in our Events Department! Read below to see if the requirements might be a good fit for you:



Position Summary

This position provides support to the Events Department housed at York Street, working with both the private and public events team. This position is an on-site contact for all assigned events including but not limited to weddings, receptions, corporate events, and Blossoms of Light.  

  

This job requires working weekends, evenings, and some holidays in a variety of environments including, but not limited to indoors, outdoors, various weather conditions and non-air-conditioned spaces.


Requirements

General Duties and Responsibilities

  • Serves as the on-site event representative for the private event team.
  • Works with the Events Department to always provide positive experiences for guests.  
  • Follows radio communication procedures and policies.
  • Maintains a positive, pro-active, solution-oriented demeanor when responding to or serving clients, members, colleagues, event professionals, and visitors.
  • Performs assigned elements of set-up, installation, breakdown, and strike of event equipment including but not limited to lighting and sound equipment, signage, and event supplies.  
  • Serves as the on-site lead when opening for private events.
  • Pays attention to detail in checking post event venue spaces for trash and potential damage deposit deductions. 
  • Notifies senior management of any unusual circumstances, safety issues/concerns. 
  • Ensures that all private events are set properly, per the clients’ agreement, and any last-minute adjustments are incorporated to the satisfaction of the client.
  • Ensures clients, caterers and event vendors abide by all Denver Botanic Gardens rules and reports all damage to the property of Denver Botanic Gardens to Private Events Team after the event.
  • Aids in clearing phone lines and completing minor administrative duties, 
  • Checks and coordinates deliveries are being sent to the correct locations, including but not limited to flowers, liquor, dance floors, tables, and chairs. 
  • Maintains a satisfactory, positive working relationship with managers, co-workers, clients, and others.
  • Assists audio-visual team with limited set-ups, breakdowns, and general support as needed.
  • Ensures all policies and procedures in the Events Department and Denver Botanic Gardens are adhered to.
  • All Gardens employees must be committed to the mission of connecting people with plants, especially plants from the Rocky Mountain region and similar regions around the world, providing delight and enlightenment to everyone.
  • May provide assistance to public events as needed.

Position Qualifications: Knowledge, Skills, and Abilities

  • Ability to read and interpret documents such as safety rules, operating instructions, and floorplans. 
  • Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of the organization.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. 
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  • Ability to troubleshoot, multitask and solve problems as they arise.
  • Must have proven excellent customer service, interpersonal, and communication skills in dealing with the public.
  • Ability to maintain stability under pressure and able to deal well with stressful situations.
  • Ability to be flexible and willing to modify plans, when necessary, throughout the day.
  • Ability to work a flexible schedule, including evenings, weekends and/or holidays.
  • Knowledge of Microsoft Suite products, specifically Word, Excel and Outlook and Teams.  
  • Ability to work overtime as necessary.
  • Must be a positive representative of the Gardens both internally and externally at all times.
  • Must work with respect and cooperation at all times with fellow employees and the public.
  • Must be committed to working safely at all times.


Experience/Education:

  • High school diploma / GED and/or combination of education and equivalent experience is required. 
  • Minimum of 1 year of experience in the special event, catering, hotel, or restaurant experience preferred. 
  • Position requires a valid driver’s license.
