Temple Beth El of Boca Raton (www.tbeboca.org) is seeking a highly organized and proactive Executive Assistant to provide comprehensive support to our Executive. The ideal candidate will be detail-oriented, possess exceptional communication skills and thrive in a flexible environment. This individual will own, manage and act on our Executive’s behalf in making decisions about schedules and will serve as a professional resource to the administrative staff when conceptualizing, planning and implementing initiatives.
JOB SPECIFIC DUTIES AND RESPONSIBILITIES:
- Provide complete executive level assistance and administrative support to the Executive staff member including calendar management, correspondence, phone calls, digital filing, travel planning and itineraries, research, and event coordination.
- Prepare and edit correspondence, reports, and presentations for Executive staff member/s.
- Assist with the preparation of meeting/event materials and agendas; take meeting notes as needed.
- Manage and maintain confidential information with discretion and professionalism.
- Anticipate the needs of the Executive staff member and proactively address them to ensure smooth workflow.
- Coordinate and facilitate communication between Executive staff member and internal staff/board members.
- Prioritize and manage multiple tasks simultaneously, with attention to deadlines and details.
- Liaison/serve as a point of contact with organization departments to ensure program success.
- Use computer software to process and code vendor invoices, payments, and expense reports.
- Maintain relationships with key community partners and congregational members, always communicating with members in a responsive, kind and sensitive manner.
- Assist with additional special projects and initiatives as assigned by the Executive staff member.

- Ability to work occasionally on nights and weekends.
EDUCATION and/or EXPERIENCE
- B.A. degree or master’s degree;
- [2]+ year experience supporting at the C-suite level; and
- Experience working with the public via telephone and email
