Description

Under the general direction of the Director of Ticketing and Assistant Ticket Office Manager, this position provides a variety of technical, operational, and administrative support to the ticket office. They assist clients, promoters, ticket office staff, and the public regarding ticketing. While maintaining ticketed events by providing technical support including, but not limited to, programing shows, overseeing ticketing technology, and facilitating financial reports.

  • As assigned by the Director of Ticketing, assist in communications with promoter(s) and internal departments to obtain updated event schedules and provide ticket sales information.
  • Communicate with promoters as relates to ticketing, making recommendations for sales and set-up of campus events.
  • Coordinate ticketing and parking sales for events across the campus for Arena, Convention Center, Theater, and any future venues that may be incorporated.
  • Proof and edit event details in a timely manner to ensure that ticket prices and fees, tour offers, and ticket holds are programmed according to the event build instructions.
  • Facilitate campus ticketing, advanced parking sales, and accuracy of event builds.
  • Work in various CRMs, using different sale flows, and other database software. 
  • Oversee resident team(s) ticketing; including the creation of single games and promotions, establish constant communication with the external staff, verifying that ticket office staff is knowledgeable about the offers, promotions, and determining staffing needs.
  • Communicate all relevant ticket information and instructions to ticket office staff and outside departments as required.
  • Provide excellent customer service in all communications to both internal and external clients.
  • Assist with general ticket office management and ticket issue troubleshooting, as well as night of show operations such as cash handling, reconciliation, reporting and customer service support.
  • Track & maintain current and future ticketing equipment (computers, tablets, printers, scanners, charging stations, access points, furniture, CC terminals, etc.).
  • Coordinate the setup & strike of temporary ticket office as needed for events across campus.
  • Create a positive and upbeat work environment to preserve employee morale.
  • Support the Premium Seating, Marketing, and other departments by processing orders, coordinating tracking events, and providing training as needed.
  • Meet with the Director of Ticketing regularly, providing ongoing information for all events and ticket office developments. 
  • Regulate vault funds, cash advances, promoter advances, and denominations needed for ticket sales.
  • Oversee the cash flow of the ticket office as needed including cash distribution, collection, and deposits.
  • Coordinate the preparation and consolidation of daily sales reconciliations, weekly sales reports, and bank deposits of sales receipts.
  • Maintain and audit daily internal and external ticketing & parking sales reports.
  • Investigate and record all overages and shortages from daily operations, promptly reporting all findings to the Director of Ticketing.
  • Coach and mentor part-time ticket office personnel, assisting in the training, and motivation of the team.
  • Assist or sells tickets to all events across campus, as needed.
  • Remain informed of company policies and procedures, answering related internal and external questions within authority.
  • Work extended and/or irregular hours including nights, weekends and holidays as needed.

Skills and Abilities

Position requires the ability to:

  • Recognize and solve related problems efficiently and rapidly while handling a large volume of tickets and cash.
  • Calculate figures and amounts such as discounts, interest, commission, properties, and percentages accurately and efficiently.
  • Handle/reconcile large sums of money utilizing prescribed cash management controls.
  • Experience with data / inventory management is ideal, but willingness to work in complicated systems is necessary. 
  • Demonstrate knowledge of principles of bookkeeping, accounting, and ticket office procedures.
  • Work in a fast-paced environment and handle heavy workload that can present stressful situations.
  • Handle multiple tasks simultaneously.
  • Follow oral and written instructions and communicate effectively with others in both oral and written form.
  • Organize and prioritize work to meet deadlines.
  • Work effectively under pressure and/or stringent schedule and produce accurate results.

Education and Experience

Bachelor’s degree from an accredited four-year college or university and a minimum of three years’ experience in planning and supervising the sale of tickets for a variety of events in a large recreational, sports, entertainment, or other public assembly facility; or equivalent combinations of education and experience.
