This position, as part of the Convention Services Unlimited (CSU) Events Management Team, will be responsible for managing the Request for Proposal (RFP) preparation and analysis processes for conventions, conferences, or small meetings; as well as, preparing client proposals for presentation. Other duties include but are not limited to managing Online Registration Services, Online Guest Room Reservation Management Services, detailing programs and acting as primary point of contact with hotels and vendors. A hybrid work schedule is available.

DUTIES AND RESPONSIBILITIES:
1) Manage the drafting of Requests for Proposals (RFPs) processes including, but not limited to conducting research on hotels and venues to support the RFP process, obtaining sales contact information to support the RFP solicitation process, and preparing RFP Analysis documents for client presentation.
2) Manage the negotiations and contracting processes from initial boilerplate language review to final agreement document for client signature, noting CSU contract language guidelines and requirements. Conduct legal review, including meeting with clients' legal and insurance representatives upon request, to ensure client clarification on contract terms, conditions and liabilities prior to presenting final agreement to client for signature.
3) Prepare client proposals for online registration services, housing management services, and event management services
4) Acting as primary point of contact with a hotel/venue in detailing meeting and event technology specifications. In addition to making catering menu selection recommendations and estimates to maintain client's budget and catering minimum as outlined in the sales agreement. Other responsibilities could include working with additional vendors or Destination Management Company on special needs (i.e. transportation, entertainment, décor, etc…).
5) Support the administration and management of online registration services and online guest room reservations management services clients in partnership with the CSU team to include the design and building of websites using the etouches and Passkey software platforms. Also, the preparation and formatting of registration and housing reports.
6) Respond to requests from Convention/Conference/Meeting attendees to provide information on registration and hotel accommodations received via 800 number or email.
7) Ability to work evenings and weekends as necessary for event preparation and during events. Willingness to travel overnight for site inspections, pre-planning visits, or on-site management. Job may require evening or weekend work/travel.
8) Provide exceptional customer service to ensure that internal and external client needs are met in an efficient and timely manner. Work to resolve customer complaints, problems or challenging issues to maintain and exceed quality customer service and satisfaction. Make appropriate recommendations to improve the customer/client relationships and experience with CSU and The Kelly Companies.
9) Support efficient and effective operations of the CSU Event Management Team by prioritizing required work flow, handling stressful and demanding situations in a discreet and professional manner, as well as training junior staff and paid interns regarding online registration and online guest room reservations practices and other event management tasks.
10) Other specific job tasks and responsibilities to be determined and assigned accordingly.

**Bachelor's degree in hospitality, business, communication or related area of focus required
**Minimum of 5 years Previous Meetings/Hotel experience required
**Technology skills including Microsoft Office (Outlook, Excel, Word, PowerPoint) and Acrobat required
**Knowledge and understanding of contract language and negotiations with hotels/vendors required
**CMP or equivalent designation preferred
**Knowledge of web-based registration and housing systems preferred (etouches & Passkey)
or similar software
** Understanding of trade union market helpful
