Description


The Membership & Family Services Coordinator acts a a liaison between the Club, members and parents. The Membership & Family Services Coordinator will be responsible for all aspects of membership, from serving as the first point of contact for membership related questions to organizing events to recruit new members. This position will also maintain records, track membership figures, and coordinate with the accounting department regarding the payment of membership fees. The Membership & Family Services Coordinator will keep membership numbers up and ensure member and parent satisfaction. This position will also develop strong relationships with parents and coordinate parent engagement programs. This is Part Time, Non-Exempt Seasonal position reporting to the Site Director.


JOB RESPONSIBILITIES

  • Ensures the front desk area is neat & presentable with current Boys & Girls Club information available for guests to view and/or take with them.
  • Handles all questions, information requests, and complaints regarding membership.
  • Develops and maintains all office/electronic files and systems associated with membership.
  • Processes membership applications, renewals, and resignations and orients new members/parents.
  • Maintains and updates membership records.
  • Assists with member communication activities.
  • Ensures that daily and program attendance is accurately recorded and documented in the Vision Membership Tracking  system.
  • Collects and accurately records data, tracks membership statistics, audits and cleans data and prepares reports.
  • Maintains daily, weekly, monthly data and membership reports as needed for program support and funding requirements.
  • Provides analysis of data trends in membership and enrollment.
  • When responsible, completes grant and program reports in an accurate and timely fashion.
  • Prepares and distributes various Club mailings including but not limited to: Club announcements, newsletter, etc.
  • Develops and implements strategies to recruit new members.
  • Coordinates with the accounting department to track membership revenue.
  • Collects membership fees with applications and issues paid receipts.
  • Ensures Club families are current with their membership fees throughout each season.
  • Works with families to set up payment plans for membership fees.
  • Manages the Boys & Girls Club Membership Financial Assistance Program.
  • Secures all monies collected and prepares deposits daily.
  • Assists in processing donations.
  • Prepares membership marketing materials.
  • Assists in recruiting, training and placing volunteers to support overall program operations.
  • Organizes events and activities for existing and prospective members and parents..
  • Coordinate programs and activities to strengthen parental engagement.
  • Create, analyze, and track parent surveys and focus groups.
  • Connect parents and members to additional services needed, such as mental health through Wellnest, food programs, Change Reaction, etc.
  • Assist Site Director with coordination of Transportation Program and food program.
  • Maintains collaborative partnerships with outside organizations such as schools, public, civic groups and social agencies within the community to coordinate services.
  • Provides administrative support to the Site Director.
Requirements

KNOWLEDGE, ABILITY and SKILLS

  • Working knowledge of federal and state laws and company policies and procedures.
  • Ability to participate in investigations.
  • Ability to support the physical property and assets of the Club.
  • Ability to maintain and cultivate excellent member/family and community relationships and
  • possess excellent customer service skills.
  • Ability to interact effectively and communicate (in writing and orally) with a variety of youth, staff, volunteers, families, and community members.
  • Ability to articulate for giving, serve as an ambassador, engage in relationship building and promote philanthropy.
  • Ability to support the efficiency of Volunteers and future workforce needs to support volunteer program operation
  • Proficient skills in the use of Microsoft Office software, including Outlook, Word, and Excel.  Proficient knowledge of a variety of platforms, databases, accurate data entry, etc.
  • Ability to work in a fast-paced environment where children are present.
  • Understanding of and ability to follow organizational policies and procedures.
  • Self-starter with excellent organizational skills with the ability to manage multiple assignments, prioritize, manage time effectively and efficiently, and complete tasks within deadlines.
  • Understanding of and ability to share the Club’s philosophy, vision, and goals.
  • Bilingual- English/Spanish required.


WORKING CONDITIONS and DRIVING

  • Travel between Boys & Girls Clubs of Metro Los Angeles sites and schools and various field trip sites as well as in the community is required. Must meet the insurance standards of Boys & Girls Clubs of Metro Los Angeles.
  • Work is performed in the community as well as an office setting.
  • Evening or weekend hours required on an as needed basis.

  • The position involves lifting; bending; reaching with hands and arms; climbing or balancing; stooping, kneeling, standing, walking, crouching, or crawling; frequent interruptions via in-person contact, phone calls, and email are expected. Will be subject to indoor and outdoor environmental conditions based on activity location.  Required to work around youth and adults where noise levels may be moderate to high during activities.  Physical exertion may be required to lift supplies and equipment.   
Salary Description
$19 per hour
