General Summary or Position Purpose: 

At Fulfillment Fund Las Vegas we owe our success to people and processes. An administrative assistant is the supportive force behind both, and we are currently seeking someone exceptional to take the helm. The ideal candidate will be a problem solver with excellent communication skills and impeccable attention to detail. The candidate should also have experience working in an office environment, performing administrative tasks, and providing support to coworkers. An ability to multitask, manage complex schedules, and meet changing deadlines is essential to the position.

Essential Duties & Responsibilities: 


Organizational Development

  • Assist with staff meetings and training events (print agendas, place catering orders, set up technology and space).
  • Assist with onboarding staff members (e.g., welcome events and workstation preparation).
  • Assist with organizational development initiatives (e.g., staff retreats) and culture-building activities (i.e., staff celebrations/recognition opportunities).
  • Assist with travel arrangements for Staff Professional Development 
  • Assist with the organization and maintenance of organization-wide files and records.

Program Staff Support

  • Assign, track, and maintain purchase order records.
  • Send staff reminders to obtain approval signatures. 
  • Place purchase orders via business accounts. 
  • Update staff on orders, shipping, and delivery times. 
  • Receive and pick up orders from school sites and vendors, as needed.
  • Deliver purchase orders and supplies to school sites.
  • Attend & support student events.
  • Capture content for social media purposes.
  • Assist with logistics for College Tours.
  • Assist with travel arrangements for Individualized College Tours.

Credit Cards

  • Track and maintain credit card requests.
  • Collect and organize receipts for credit card reconciliation reports. 
  • Communicate with staff about credit card request approvals and supporting document submission deadlines
  • Oversee credit card check out/in log.

Office Maintenance

  • Monitor and maintain office supply inventory.
  • Submit purchase orders for organizational supplies.
  • Receive direct deliveries from contractors.
  • Oversee shredding schedule.
  • Order copier supplies. 
  • Organize common space in the main office.\
  • Maintain laptop inventory. 

Communication

  • Monitor company voicemail and website inquiries and forward to appropriate staff for follow up.
  • Create newsletter for organization-wide communication 

Database Management

  • Update and maintain student records.
  • Assist with database standards and training
  • Assist with preserving data integrity and identify errors

Education, Experience, and Licensing Requirements:

Certificates, Licenses, Registrations: A current Nevada state-issued Driver’s License, current automobile insurance coverage and current automobile registration.
