Compensation (Based on experience and qualifications): $20.00 - $25.00 Hourly.
Schedule: Full-Time; Monday – Friday; 8:00 am – 4:30 pm
Our Administrative Assistant is responsible for all office functions related to administration and ensuring that functions listed below are performed in a timely and accurate manner. They will work closely with our Executive Assistant to perform all administrative functions for Esperanza's Executive Leadership Team.
Primary Duties and Responsibilities:
- Assist the Executive Assistant and perform administrative functions for Executive Leadership.
- Coordinate scheduling of meetings, appointments, and conference rooms.
- Manage supply distribution and inventory for the Western administrative office.
- Perform reception duties, including greeting and managing the front desk.
- Maintain and encourage office organization and cleanliness, including storage room organization.
- Assist with incoming and outgoing mail and postage maintenance for appropriate departments.
- Review and distribute e-faxes to appropriate staff members.
- Create and maintain file systems and records for easy access.
- Enroll new providers in our on-call paging system.
- Ensure all office equipment (fax, copiers, etc.) is kept in proper repair and functioning, working with vendors to ensure timely repair and maintenance as needed.
- Assist with the processing of expense reports for the Executive Leadership Team.
- Provide general support to Operations, Facilities, Risk Management, and HR departments as necessary.
Human Resources Support:
- Printing of EHC issued IDs for employees, students, or interns.
- Distribution of uniforms to new hires and current employees.
- Assistance with monthly new hire orientation (e.g., setup, name tags, food ordering).
- Collection of IT equipment for departing employees, students and interns

- 2+ years of administrative support OR related experience.
- Proficiency in Microsoft Office Suite and email communication.
- Proficiency in Adobe Acrobat (Preferred not Required).
- Aptitude for learning new software tools.
- Strong organizational and time management skills.
- Ability to work independently and as part of a team.
- Excellent verbal and written communication skills.
- Flexibility to adapt to evolving tasks and responsibilities.
