Job Title: Accounting Associate

Department: Accounting

Reports to: Controller


Summary:

To provide our customers with total satisfaction. To serve our community through volunteerism and produce a return on assets which will assure the future prosperity of our employees and our company. To be an ambassador of our “Living Brand” by building relationships with our customers. To accurately and timely report accounting data. To safeguard company assets. To cross-train functional areas of accounting.

ESSENTIAL FUNCTIONS

  • Builds Relationships

  • Utilizes various computer programs to efficiently process invoices, taxes, etc.
  • Performs daily, weekly, monthly, and quarterly reconciliation of data and accounts
  • Monitors store level compliance with accounting policy and procedures
  • Accepts other duties assigned by supervisor
  • Additional assigned essential functions within Department:
  • DC Payables
  • Accounts for all Bakery and Distribution activities from receipt through billing to stores and donations
  • Reconciles warehouse management system transactions to the accounting ERP software
  • Prepares Bakery cost of sales
  • Fuel & Tax
  • Accounts for all fuel and carwash activity from purchase to cost of sales
  • Works closely with the Petroleum Department providing reporting and managing alerts
  • Files operating tax returns including sales/use, gasoline use, motor fuel, pre-paid wireless, food and beverage, federal excise, and cigarette excise
  • Serves as a back-up associate for receivables and fixed assets
  • This position reports directly to the Chief Accounting Officer
  • Inventory & Fixed Assets
  • Records and categorizes all long-term assets
  • Files property tax returns
  • Maintains stores inventory of all categories outside of fuel
  • Serves as back-up associate for fuel and nontrade payables
  • Nontrade Payables
  • Processes all invoices for contracts, construction, repairs, supplies, and utilities
  • Works with all departments to ensure proper approval process is followed
  • Verifies vendor statements
  • Serves as back-up associate for fixed assets
  • Receivables
  • Reconciles rebate payments
  • Processes payments from tenants, credit companies, and all other receivables
  • Manages the accounting of the proprietary fleet programs
  • Maintains lease records
  • Serves as back-up associate for Distribution Center Payables
  • Store Operations
  • Reconciles all store entries for sales and cash and equivalents
  • Maintains daily reporting forms
  • Serves as back-up associate for Store Accounting Manager
  • Reports directly to Store Accounting Manager

SUPERVISORY RESPONSIBILITY This position has no supervisory responsibilities.

WORK ENVIRONMENT:

Must have flexibility to work all shifts, all days of the week, when necessary while maintaining the natural accounting cycle ebbs and flows. Ability to tolerate extreme temperatures for minimum of 30-minute intervals. Exposure to cleaning solvents.

TRAVEL No travel outside of daily travel to Family Express Office is expected for this position.

ROLE QUALIFICATIONS

  • Must be at least 18 years of age
  • Must have reliable transportation

MINIMUM EDUCATION REQUIREMENTS

  • Associate Degree in Accounting or equivalent accounting experience

PREFERRED EXPERIENCE REQUIREMENTS

  • Previous retail experience
  • 2–4-year college degree
  • Proficiency in Microsoft Word, Excel, and Outlook
  • Digital literacy

PHYSICAL REQUIREMENTS

While performing the duties of this job, the employee is required to sit for prolonged periods; work longer

than eight (8) hour shifts, reach, climb, balance, stoop, kneel, crouch; talk and hear; taste and smell.

The employee must occasionally lift and/or move up to 50 lbs. Specific vision abilities required by the

job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability

to focus.
