We’re currently growing our team of Artisans with an Office Manager to support our Spring and Beaumont office. This role will be located at our Support Center in Spring, TX with monthly travel to the Beaumont office required. This role is responsible for providing office management services for local RTI team including typical administrative duties, reception responsibilities, fleet management, and managing supplies and facilities. 


Duties & Responsibilities 


Specific responsibilities for supporting Rockies, Beaumont, Support Center receptionist:


· Maintain inventory and label all drain tags needed for Operations Managers.

· Maintain inventory of sales/promotional items including brochures, safety equipment/supplies, work shirts and kitchen & office equipment/supplies.

· Help coordinate vehicle assignments, maintenance, and cleaning.

· Review and approve expenses reports and timesheets.

· Coordinate and maintain office/building vendors.

· Support meetings, trainings, and assists in arranging meetings, appointments, meals, refreshments, etc.

· Setup accounts for building management. 

· Create and maintain an office that is safe and organized. 

· Support Center receptionist responsibilities.


General Office Manager responsibilities:


· Coordinates and executes overall administrative activities for the office including printing, data entry, and any tasks supporting Operations and Mechanical Team. 

· Collaborates with teams in other RTI locations to support and fulfill any local needs related to operations support group, logistics, inventory, purchase orders, accounts payable, (status of shipments, documentation, etc.). 

· Supervises the maintenance of office equipment, including copiers, fax machines, etc. 

· Responsible for the facilities’ day-to-day operations, e.g., maintaining building access keys, etc. 

· Supports pool vehicle assignments, maintenance, and paperwork. 

· Follows administrative processes to ensure consistency across RTI offices. 

· Responsible for the office to ensure effective telephone and mail communications both internally and externally to maintain a professional image. 

· Negotiates the purchase of office supplies and furniture, office equipment, etc., for the staff in accordance with Company purchasing policies and budgetary restrictions. 

· Provide input to Communications for local office (e.g. newsletter, intranet, LinkedIn) stories.

· Coordinate any service projects or client events in the local area with support and direction from Events Coordinator.

· Ensures protection and security of files and records.

· Plans and execute events and celebrations for the local team.

· Work on corporate projects to support administrative and communications teams, as appropriate.

Requirements

Minimum Qualifications 


· 4 years of experience as an admin or office manager.

· Working knowledge of mail processes such as postage machine, 3rd party shipping.

· Proficiency in Microsoft Office Suite.

· Strong organizational skills with attention to detail with the ability to adapt to changing priorities.

· Strong communication skills – verbal and written.

· This role will require the ability to work 5 days a week in the office.


Additional or Preferred Qualifications 


· Some higher education is preferred.

· Strong planning and problem-solving skills.

· Ability to interact with employees and vendors in a professional manner.


Working Conditions / Physical Demands 


· Work will typically be performed in an office environment using routine office equipment.

· Ability to lift 15 – 30 pounds as needed when moving mail, business files, or papers. 


Travel Requirements


· Travel is required 30% of the time - a minimum of one trip a month to support Beaumont office will be required.
