Description

DEFINITION: The position of Activities Coordinator is a leadership position requiring self-motivation, self-initiative, organization, eye for detail, and the ability to handle several tasks simultaneously. The Activities Coordinator is responsible for managing activities for the Woodhaven Community Connections Day Program which includes, but is not limited to the following: completing required paperwork, facilitating onsite activities and community based activities; the researching of community opportunities, events, and activities occurring in the community; building community partnerships; ensuring required items are available (meds, snacks, supplies etc.); staying within budget; providing daily leadership to the program; and working directly in ratio when required. Community opportunities include, but are not limited to, recreation/leisure, volunteering, cultural and religious pursuits, health and fitness, education, and skill development work and vocational exploration. Developing and sustaining new partnerships with community organizations and businesses to successfully provide volunteer opportunities and community engagement for program participants. The Activities Coordinator will work cooperatively with the Program Manager over the Community Connections program with expansion of the program, which will new admissions and locations as necessary.    


EXAMPLE OF WORK DUTIES: (Any one position may not include all the following or do all the listed examples include all duties and responsibilities which may be required of the position)

  1. Developing and sustaining new partnerships with community organizations and businesses to successfully provide volunteer opportunities and community engagement for program participants.
  2. Creating and facilitating evening and weekend activities for our individuals served.
  3. Conduct monthly meetings with both staff and individuals to ensure that program is addressing any concerns or needs of the program so it reflects the wants and needs of the participants. 
  4. Meet all deadlines in regards to completing paper work; turning in funds; and ISP plans implementing on time.
  5. Provide direction to staff to ensure they are following all safety precautions, ensuring individuals are given the opportunity for daily choices, and following HCBS guidelines of individualized supports.  
  6. Provide input to the Program Manager based on the needs of the program, staff or its participants. 
  7. Communicate regularly with your direct supervisor (Program Manager) regarding any new activities are ideas prior to presenting them to ensure they are feasible. 
  8. Increase focus on community participation that will enhance Woodhaven’s presence and reputation in the community.
  9. Plan/facilitate and oversee activities for the Day Program ensuring each individual attending the Day Program has a meaningful day. 
  10. Provide incidental support throughout the day to ensure the day runs smoothly.
  11. The Activities Coordinator will have a company cell phone to be used for communicating with staff (receiving call ins, scheduling, etc.), speaking to supervisor, or communicating with community partners. 
  12. Assist accounting department in monitoring of expenses and help assure purchases are appropriate and receipts document this and if it is not a typical purchase seeking approval from your Program Manager prior to making purchase.
  13. Develop and maintain a 12-month activity plan with budget, adding monthly the next month so that there will be a future 12 month plan and budget at all times. Submit these monthly to the Program Manager/Community Connections Manager who will review and send the approved plan to the COO, CFO and Development office.
  14. Reflect values of organization and maintain principal centered leadership.
  15. Establish and maintain positive relationships with other agencies.
  16. Serve as liaison to the Aktion Club and participate in bi-monthly meetings.
  17. Represent agency to organizations, individuals, and government officials in a positive manner.
  18. Establish and maintain positive relationships with individuals supported, families, other agencies and Woodhaven staff.
  19. Perform additional duties not specifically listed when emergencies or unusual situations arise and/or as assigned by supervisor or leadership staff.
  20. Manage and approve the use of all Community Connections funds and reconcile them and turn them in per deadline. 
Requirements

QUALIFICATIONS: A bachelor's degree in Human Services or related field is required with experience in Recreation Therapy.  Communicate clearly and effectively both verbally and in writing, must have maturity, leadership qualities, organization, flexibility, time management skills, good judgment and skills in interpersonal relations. Must be proficient in computer knowledge. Must have at least 2 years experience planning leisure/recreational activities.


ESSENTIAL QUALIFICATIONS/DUTIES:  This position requires that you successfully complete an initial orientation. This will include CPR, First Aid, CPI, Universal Precautions in-service, lifting in-service, a medication administration course and other lectures on basic information regarding State and Federal law relevant to the organization's policies, procedures, rules and regulations. You will be required to update these inservices annually or as needed. A valid Missouri chauffeur's license within the first two (2) weeks of employment is necessary for this position and must maintain acceptable driving status according to Procedure No. 1-8-3, Woodhaven Vehicle Use. Any exception to this requirement must be authorized by the Chief Operating Officer or the Director of Residential and Community Services. Activities Coordinator must maintain a positive relationship with the individuals they support. This position also requires that you successfully complete the Management Training Curriculum course and have CARF knowledge.


ESSENTIAL PHYSICAL REQUIREMENTS: This is non-sedentary work requiring the exertion of up to 40 pounds of force occasionally and a negligible amount of force frequently or constantly to move objects; work requires fingering, grasping, and repetitive motions; vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels; visual acuity is required for preparing and analyzing written or computer data, operation of machines, determining the accuracy and thoroughness of work, and observing general surroundings and activities; the worker is not subject to adverse environmental conditions.
