We are currently seeking a dedicated professional with a proven track record of success to join our team. This full-time position serves as an Administrative Assistant in support of the Naval Surface Warfare Center, Crane Division (NSWC Crane), a world class Naval Installation providing technical solutions to the Department of Defense. The Administrative Assistant will review all correspondence for proper format, grammar, completeness, etc. They will coordinate and ensures arrangements have been made for travel of the Chief Technology Office (CTO) and others. This may include arrangements for time, location, and notification of participants for meetings, conferences, and briefings while on TDY. The Administrative Assistant will coordinate and submit CTO highlights, stoplight articles, and presentations. They will obtain proper approvals for all communications and ensures it is forwarded for timely delivery. They will maintain and coordinate the CTO’s calendar and ensure that meeting requests are established with maximum consideration for all participants involved. They will ensure that meeting locations are booked, and meeting preparation details are known and worked. The Admin Assistant will document and post meeting minutes and prepare briefs on a variety of CTO topics to workforce. They will receive and gather supply requests, enter appropriate forms, and send to Acquisition for ordering. They will maintain spreadsheet of supply requests and follow-up with Acquisition POC. They will also update and maintain CTO SharePoint external and private sites and grant access to division sites. The Admin Assistant will scan and copy documents and will be proficient in government software programs and Microsoft Office programs. They will develop, prepare, and maintain program reports, such as Microsoft Project, Excel spreadsheets and Word documents for use in supporting various programs and projects. They must have the ability to communicate with all levels of the Command to ensure compliance with all program requirements and maintain strict confidentiality.
· High school diploma required. College degree from an accredited university preferred, but not required.
· Minimum of 2 years of professional experience in administrative support.
· Active DoD Secret level security clearance.
· Excellent communication skills, both verbal and written.
· Strong interpersonal skills, with the ability to build and maintain effective relationships.
· Strong organizational skills, with the ability to effectively prioritize tasks.
· Strong attention to detail and ability to multi-task.
· Ability to work both independently and collaboratively within teams.
· Self-starter committed to meeting deadlines.
· Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, Power-Point, and Teams.
