Description

The M.J. Murdock Charitable Trust is seeking an experienced Program Coordinator to provide temporary coverage for the duration of leave of absence of a full-time Program Manager.   


The anticipated duration of this temporary role is July 1-October 31, 2024, including training and hand-off periods.  This is a full-time contract role and is based out of the Trust’s office located in Vancouver, WA.


POSITION SUMMARY

As a member of the Murdock Trust Grants & Programs Team, a Program Coordinator is responsible for assisting professional program staff with semi-routine to semi-complex administrative activities related to grantmaking and programmatic activity in the assigned sector.   

Additionally, a Program coordinator may coordinate logistics for programs at the Trust which include in-person and virtual conferences, cohorts, trainings, seminars and convenings of the foundation, providing on-site support and logistics troubleshooting. This role may be responsible for coordinating logistics for small virtual or in-person convenings or supporting professional staff overseeing medium-large program related events, seminars, or convenings, as assigned.

TYPICAL RESPONSIBILITIES

Administrative Activities  

• Provides routine clerical and administrative support to sector staff and leadership as assigned. 

• Produces routine reports using data available through various digital platforms; upload content via digital platforms, as assigned.

• Responsible for calendar management, requiring interaction with both internal and external partners to coordinate sector related activities. 

Sector Activities  

• Perform work as assigned related to the following sector specific and cross-sectoral activities: program and convening initiatives. 

• Conduct research to inform sector specific and foundation programs.

• Works closely with Sector Leadership, Program Directors, Program Officers, and Program Managers to monitor active sector projects and support the successful completion of program objectives and initiatives.

Program Project Management 

• Supports Program Managers by monitoring assigned stages of program plans including coordinating curriculum content, schedules, budgets, and/or post-completion evaluations.  

• Serve as a point of contact for program information and communication. 

• Ensures branding standards for assigned program materials.

• Works openly, candidly, and cooperatively with other program staff in defining project scope, timelines and needs, may provide recommendations for program content, adjustments, or other updates.

Logistics, Hospitality and Technical Support

• Responsible for ensuring any assigned logistics, including hospitality, related to a program are effectively coordinated and executed, including but not limited to calendar management, vendor and contract management, program invitations, materials, marketing, and technology services; provides on-site support and logistics troubleshooting.

• Work in partnership with Program & Events Administration staff to ensure all activities are consistent with established standards for Trust convenings and events and that all vendor engagements are with approved Trust partners, when required.

• Provides first-line technical support for technology programs utilized at each stage of program execution, including but not limited to project, event, database, and content management platforms.   

General

• Schedule flexibility related to conferences, seminars and convenings which may require work on select evenings and weekends.

• Travel, including overnight and outside of usual business hours may be necessary, up to 5%.

• Other duties and responsibilities, as assigned.

EXPERIENCE AND EDUCATIONAL REQUIREMENTS

• Minimum of 2 years of experience in project management, events management, and/or related field. 

• Bachelor’s Degree or a combination of equivalent education and experience required.

• Progressively responsible management of complex projects, including the management of multiple simultaneous or overlapping projects with a demonstrated history of successful delivery.  

• Demonstrated logistics coordination experience.

• Demonstrated technical acumen including proficiency level knowledge of workplace technology including but not limited to Microsoft suite.


Salary Description
$30.00-$37.00/hour
