REGISTRAR OFFICE SUPPORT SPECIALIST ($19-$20/hour)

PURPOSE

Provide administrative support with the daily operations of the office. This position will report primarily to the Associate Registrar for Traditional Programs and Senior Registrar.


GENERAL DESCRIPTION

The Registrar Office Support Specialist assists the Registrar’s Office in the essential duties of the office and related needs of the campus community. The duties listed are a general representation of the responsibilities of the position and require flexibility to meet campus needs as they arise. The Registrar Office Support Specialist fosters a positive university experience by providing a place where students receive answers to questions regarding schedules, campus policies, attendance, transcripts, and other registrar-related questions. He/she must have a working knowledge of the university’s policies, catalog requirements, transferrable courses, athletic certification, and FERPA. This position must also maintain sensitivity and confidentiality regarding students’ records.

ESSENTIAL DUTIES

  • Located out front for easy student access, answering phones, and processing transcript requests.
  • Evaluation of transcripts and communicates with Admissions.
  • Advising and registration assistance.
  • Provides support to needs of Athletics as needed, which includes review of units for competition requirements, sharing academic status with coaches, certifying athletes with the NAIA.

Providing Assistance to:

  • Create and distribute finals’ schedules and box lists at the start of each semester.
  • Pull basic queries and reports for campus departments as needed.
  • Identify and process students eligible for upper division studies.
  • Input courses for semester schedules.
  • Might serve as a secondary Designated School Official for SEVIS and international students (if directed by Senior Registrar).
  • Support academic departments with advising and program requirements.
  • Assist with updating and maintaining office Policy and Procedure Manual.
  • Oversee schedule adjustment entry, and other updates, into Empower with faculty and staff notification.
  • Update degree audits and degree planning sheets.
  • Batch registration for athletes, ministry formation, ensembles and others (as needed).
  • Assist with the coordination of graduation and related events.
  • Verification of graduation eligibility which includes contacting students and recording information.
  • Enter transfer courses and units in Empower and degree audit and keep accurate records.
  • Assist with overseeing the student employee’s tasks and duties.
  • Other duties as assigned.

NOTE: Though not required, this position is optionally eligible for appointment as a Foursquare minister under certain conditions. If appointed as a minister, the employee will be available to provide pastoral care and prayer. In addition, s/he may be called upon to perform sacerdotal duties upon request of the University.

Requirements

MINIMUM REQUIREMENTS

  • Bachelor’s degree and two years higher education experience.
  • Proficiency with Microsoft Office including Word, Excel, Outlook, and SharePoint.
  • Excellent interpersonal skills, both oral and written.
  • Ability to organize and prioritize work, maintain steady work on projects amidst interruptions, work independently with little supervision, think critically, and take initiative with assigned responsibilities.
  • Committed to the university’s values as articulated in its Statement of Faith.
  • Comfortable praying with and/or providing spiritual direction to students and staff.
