Our schools are: Sherwood Forest, Village De L’est, Einstein Middle School, and Sarah T. Reed High School. Authorized by the Orleans Parish School Board, we service the needs of more than 1,600 students, over 30% of whom receive ELL services.

Position Overview

The job of the School Data Manager is done for the purpose/s of performing specialized and responsible clerical and technical tasks related to the maintenance of student records and files; as well as related duties as required and maintaining an automated student information system.


Key Responsibilities

  1. Serve as the PowerSchool, EScholar, and SalesForce system administrator by entering, summarizing, analyzing and reviewing data for accuracy to produce standard, custom and confidential reports for the assigned departments.
  2. Create schedules in PowerSchool
  3. Maintain and manage PowerSchool parent and student portal.  Coordinate and oversee distribution of Parent Portal login information and responsible for quality assurance of parent User IDs and passwords.  Troubleshoot and resolve portal issues.
  4. Provide information and/or training to co-workers and school staff on the use of PowerSchool and application of data produced from the system.
  5. Work in collaboration with the School Operations Manager to maintain integrity and accuracy of student records, including maintenance and tracking of attendance and retention.
  6. Work in collaboration with school leaders to ensure accuracy of report cards and records.
  7. Submit eligible students to the PEBT portal according to DCFS guidelines & follow-up per families' concern 
  8. Update students' attendance with proper documentation (tardiness, doctors' notes, etc.)
  9. Record/track daily attendance count
  10. Generate truancy reports, letters and robo calls to share data with the truancy committee.
  11. Work with other departments and stakeholders to provide requested information, student records and data.
  12. Accurately maintain and organize student records (registrar and internal data).Process applications during admissions season and enrollment documents during registration season.
  13. Organize and maintain an efficient and effective office that handles a variety of tasks for the administration, faculty, students, and parents of the school.
  14. Perform clerical tasks of a varied nature. Many tasks will require a thorough knowledge of the rules and regulations of the school and school system and the frequent exercise of independent judgment within the scope of the authority granted by the Principal.
  15. Fill in and assist other front office staff as needed; take care of attendance, lunch count and other duties assigned by the principal.
  16. Perform a variety of clerical duties related to student attendance, including registrar, accounting and recordkeeping activities as assigned by the position; provide accurate reporting for daily attendance activities and update attendance data for required ADA reporting; verify excused and unexcused absences; process and verify student absence information from parents, teachers and others; issue admittance forms to students who are late or returning after an absence.
  17. ·Perform a variety of technical student record clerical tasks which may include: a. Creates and/or maintains permanent student record files and affixes test labels as they become available
  18. Enroll new students, secure all necessary enrollment data; help determine guardianship; help verify residence in school attendance area
  19. Verify new student’s withdrawal from previous school and request records. Call  previous school if necessary to clarify classes scheduled, grades, or special programs.
  20. Send transcripts to schools for students who have transferred.
  21. Respond to telephone contacts and provide callers with appropriate student related information and data. Respond to written requests from appropriate agencies and persons regarding student information and records; prepare routine correspondence.
  22. Assists teachers with records as needed.
  23. Audit a variety of programs and processes for the purpose of ensuring compliance with established policies, procedures and/or education codes.
  24. Compile a variety of reports and recommendations (e.g. year end reports, honor roll list, principal’s list, failing grade reports, progress reports, report card, for the purpose of providing accurate information.
  25. Inform Administrators of possible student grade deficiencies or unusual placements
  26. Interpret and evaluate transcripts of incoming students (e.g. independent study grades) for the purpose of transferring grades and  into the district student information system.
  27. Maintain a variety of files, documents and student records (e.g. grades, transcripts, academic achievement records, etc.) for the purpose of documenting and/or providing reliable information relative to student records.
  28. Perform enrollment and unenrollment activities on the automated student information system and prepares and maintains permanent student record and cumulative folders for all students (e.g. requests records on new students, data entry of all student records) for the purpose of ensuring compliance with financial, legal, state or federal requirements.
  29. Prepare written materials (e.g. reports, memos, letters.) for the purpose of documenting activities, providing written reference and/or conveying information.
  30. Verify information and grades on report cards for the purpose of ensuring the accuracy of the information. 
  31. Assist other personnel (e.g. summer school program, mailings, testing, graduation ceremonies, return mail, powerschool monitor) for the purpose of supporting them in the completion of their work activities.
  32. Attend meetings/training as assigned (e.g. workshops, powerschool training, in-services) for the purpose of conveying and/or gathering information required to perform functions.
  33. Serve as a resource to employees and/or organizations for the purpose of interpreting and conveying appropriate procedures required for district operations.
  34. Support assigned administrative personnel for the purpose of providing assistance with their administrative functions.
  35. Perform other duties as assigned.
Requirements

Skills/Qualifications

  • Have earned a high school diploma or equivalent.
  • Proficient in student information system, PowerSchool (i.e. scheduling), Google Applications, and data analysis platforms
  • Familiarity with OneApp process and deadlines
  • Have a minimum of two years of successful experience in a related secretarial or office position, or be a graduate of a recognized program of secretarial studies.
  • Demonstrate excellent secretarial skills, including at least 50 words per minute at the keyboard with a minimum of errors, general bookkeeping skills, organizational and filing skills, and the ability to use electronic equipment for word processing, data management, information retrieval, visual presentations, and telecommunications.
  • Be proficient in the use of Microsoft Office or an equivalent computer program.
  • Demonstrate the ability to communicate effectively in English, both orally and in writing, using proper grammar and vocabulary.
  • Demonstrate appropriate telephone etiquette, with proper voice inflection.
  • Have excellent integrity and demonstrate good moral character and initiative.
  • Exhibit a personality that demonstrates enthusiasm and interpersonal skills to relate well with students, staff, administration, parents and the community, including difficult and emotional situations.

  • Required to use motor coordination with finger dexterity (such as keyboarding, machine operation, etc.) as part of the work day;
  • Required to exert physical effort in handling objects less than 30 pounds rarely;
  • Required to be exposed to physical environment which involves dirt, odors, noise, weather extremes or similar elements rarely;
  • Normal setting for this job is an office/school setting.
