CROSSROADS CHURCH - OPERATIONS and PRESCHOOL MINISTRY COORDINATOR (full time)

General Description

The Operations and Preschool Coordinator will administratively support all facets of Operations and Preschool (3 years - kindergarten) Ministries at Crossroads Church. This includes contributing to and embracing the purpose and direction set by the Operations and Preschool Team Managers and then motivating team members towards the fulfillment of that vision. This person must provide good people and communication skills, organization and administrative gifting, and great follow-through. They must embody the Kids Ministry culture by being Christ-centered, fun, innovative, relational, and exemplify first class hospitality.

Essential Job Functions

1. Embody Crossroads Christian Church’s mission, vision, values and staff expectations.

· Attend all staff meetings.


Administrative Functions (~20hours/week)

1. Departmental Ordering and Budgeting:

a. Ministry ordering and shopping (preschool and events): price comparing for best value, order pick-ups, etc.

b. BILL reconciliation and receipt uploading

c. Check requests and/or set-up e-pay for vendors

d. Create and manage a shared department budget doc, updating monthly

e. Manage department merch: Keep inventory and reorder team member shirts & sweatshirts.


2. Metrics/attendance data 

a. Update spreadsheet from Metrics app weekly, keep data current, investigate trends further through CCB reporting.


3. CCB:

a. Create/maintain schedule for support teams (Operations, Kinderland Transition, Midweek Curriculum Prep) and special events.

b. CCB Form Management: updating data from forms to profiles

         i. First Time Families (10-20 forms, 20-80 profiles per week)

         ii. VBS (1500 kids & team members + connected parent profiles)

         iii. Winter Camp (150 kids and team members + connected parent profiles)

         iv. Duplicate Profiles (200+ per month)

         v. Onboarding (10-50 forms per month)


4. New Family Support and Follow-Up

a. Recruit and manage team to follow up with new families:

         i. Manage, recruit train, shepherd and follow up with volunteer team that follows up with first and second [GU1] [LJ2] [FS3]   

             time visitors welcoming them into ministry and inviting them to create their CCB profile (30-40 families per week)

         ii. Represent church/ministry by calling second time visitors. Answer questions about their first visit, encourage them in  

             further connecting, resource parents with additional ministries within the church. (10-15 families per week)


5. Fingerprint Roller

a. Will become certified Live Scan fingerprint roller in order to support Kids Ministry onboarding process. 

b. Train on Live Scan provider procedures.


6. FMX: Request facilities for services and events & input maintenance requests.


7. Create and support processes to onboard new team members effectively and efficiently. Move them through all onboarding steps: observations, application, orientation, background check, reference check


5. Maintain schedule for 1x/month Helpers (to back up Team Members)

a. Schedule helpers

b. Use CCB communication to remind them of serving time

c. Check them in / help ensure they serve in the right place

    

  

Preschool Ministry Functions (~20hours/week)

1. Provide Administrative Support for Preschool Life Groups.

a. Support curriculum development process for weekly Life Group Lessons utilizing curriculum provided, working with Preschool Team Manager.

b. Manage Midweek Prep Team (recruit/schedule/shepherd)[GU1] [LJ2]  in order to prep life Group curriculum supplies each week for all services. 

c. Understand Age-Level Characteristics and how kids develop spiritually in order to provide a great Life Group Experience.

d. Help with set-up and tear-down each weekend for Kinderland/Preschool Ministry.

e. Help manage Budget for Life Group supplies and curriculum.

f. Lead Life Group as needed.


2. Support Preschool Team Members

a. Support the Preschool Team Manager in ongoing recruiting needs.

b. Work with the Preschool Team Manager to develop creative strategies to enhance the future of Preschool Ministry.

c. Help with the scheduling of Team Members.

d. Send communication as needed to Team Members.

e. Develop relationships with the children and families.


3. Provide Administrative Support for Preschool Ministry Services (mid-week, Sundays) and Events, as specified by the Preschool Team Manager

a. Support weekly service needs – all facilities requests; safety follow-up; equipment purchasing and oversight; etc.

b. Support Preschool Large Group Ministry through tech needs (updated Worship Videos, teaching, etc.)

c. Partner with and help oversee aspects of all-church events that involve Preschool Age children: VBS; Ash Wednesday; etc.


4. Kinderland Transition Team (network/schedule/manage & collaborate with school leadership on shared spaces)

a. Manage Kinderland Transition Team Members schedule and Team Leads

b. Recruit and train more Team Members as needed

c. Keep communication as a liaison with the school on upcoming holidays/special events and communicate to Kids Ministry Team

d. Upload new online images as needed when facilitators rooms are updated (approx. every 6 months)

Education and Experience

This position requests a partial or full bachelor’s degree in biblical studies, ministry, church leadership, or similar, or the equivalent in vocational ministry experience. We are seeking someone with 1-3 years’ ministry experience.


Physical effort: 

· Pushing/Pulling  

· Must be able to lift up to 15 pounds at times. 

· Required to work weekends, nights, or be on-call as a regular part of the job.
