Location: Philadelphia, PA (in office/on-site at least 3 days per week)

Employment Status: Full time, Non-Exempt

Reporting to: VP, Marketing & Special Events

Effective: 5/20/24

Salary: $50,000 to $55,000

  

POSITION SUMMARY

The Marketing & Special Events Coordinator, reporting to the VP, Marketing & Special Events plays a vital role in successfully executing and fundraising for BBBSI’s portfolio of 4+ signature events annually. The focus is on enhancing our mission, efficiently increasing pre- and post-event fundraising outcomes, and ensuring excellent customer service. We are seeking an experienced marketing and fundraising events professional to contribute to sustainable growth, collaborating with senior leadership and Board-chaired Special Event Committees. Responsibilities include identifying new revenue, maintaining and elevating current sponsors, expanding special events capabilities, and support general marketing & communications for one of the country’s leading BBBS agencies.

  

Candidates with a strong connection to the community that BBBSI serves and the Southeastern Pennsylvania/Southern New Jersey area are given preferential consideration. Occasional travel to community partners, events, and conferences is required, as is some night and weekend work.
 

JOB RESPONSIBILITIES

Event Administration 

  • Oversee production and execution of Signature Events in coordination with VP, Marketing & Special
  • Assist the VP, Marketing & Special Events in managing Special Events Committees for Agency Signature Events. Communicate regularly with Committee members and stakeholders to ensure progress toward the event goal, including creation and distribution of meeting materials and minutes.
  • Support Special Event fundraising including auctions, ticket sales, and sponsorship, targeting $1M gross fundraising in three years 
  • Supervise vendors and technology platforms (e.g., GiveSmart) in coordination with VP, Marketing & Special Events 
  • Ensure Program integration in each Special Event to advance the Agency’s mission and vision
  • Collaborate with relevant staff for accurate record-keeping, reconciliation, and effective reporting on the Event & Sponsorship portfolio 
  • Event Details including but not limited to: Project Planning, Overseeing logistics, maintaining attendee lists, event staffing planning, tracking and reporting fundraising progress
  • Assist with the planning, communication, and management of deliverables from Third Party Events 
  • Collaborate with Advancement Team, Committees, Board, and RABs to secure sponsorships, maintaining and growing the event sponsorship pipeline  
  • Maintain assigned Indyforce records and campaigns 

Marketing

  • Assist VP, Marketing & Special Events in coordinating multi-channel marketing campaigns to increase brand awareness and drive engagement
  • Support the development and execution of social media content calendars, including scheduling posts, monitoring engagement and analyzing metrics to optimize performance
  • Support email marketing campaigns and other digital communications to engage target markets 
Requirements

REQUIREMENTS

Academic/Educational Requirements

High School Diploma/GED and 6 years relevant experience or Associates Degree and 4 years relevant experience or Bachelors Degree and 2 years relevant experience

 

Skills and Professional Requirements:

• Minimum 2 or more years as a fundraising special events and/or marketing professional (non-profit, human services environment preferred)

• Strong understanding of social media, email marketing, and digital channels.

• Excellent communication skills to support content development, teamwork, and engagement with sophisticated donors / event committee members

• Ability to analyze metrics and optimize campaigns for better performance.

• Proactive approach to adapting to trends and identifying new opportunities.

• Passion for youth development and a commitment to BBBS Independence's mission and values

• Bilingual skills, particularly Spanish and English, preferred. 

• Demonstrated ability to work with and motivate a wide variety of diverse groups, with a preference for candidates with lived experience in racially, ethnically, and socio-economically diverse urban and/or recent immigrant communities.

• Attentive and active listening skills, organization, flexible thinking, ability to function well in a fast-paced environment

• Proficiency in Project Management, Microsoft Office and CRM/Case Management packages required (Salesforce preferred)

• Flexible to accommodate job responsibilities (including ability to work evenings/weekends as required)

• Daily and dependable access to a car, valid driver's license, and meet State-required automobile insurance minimums preferred


Ability to commute to office and/or sites at least 3 days a week is required.
