SUMMARY
The Accounting Clerk is responsible for providing financial, administrative, and clerical support by ensuring the company’s finances are accurate and up to date. This includes processing transactions, reconciling accounts, and maintaining accurate financial records. The ideal candidate will have strong attention to detail, excellent organizational skills, and the ability to handle multiple tasks in a fast-paced environment.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Accounts Payable (AP):
- Process, review and verify invoices and expense reports
- Monitor vendor payment terms and discount opportunities and verify federal id numbers.
- Maintain a large number of vendor accounts while staying in compliance with company policies and procedures.
- Review, process, and reconcile monthly credit card activity and perform necessary accounting system entries.
- Reconcile vendor statements and resolve discrepancies
- Prepare and process electronic transfers and payments
- Maintain accurate and organized AP files and records
Accounts Receivable (AR):
- Generate and send out invoices to clients
- Monitor customer accounts for non-payment and delayed payment
- Perform account reconciliations and follow up on outstanding payments
- Record payments and make bank deposits
General Accounting (GA):
- Assist in month-end and year end closing activities
- Perform other check and cash deposits preparation and recording
- Prepare and maintain various financial reports
- Perform routine calculations to produce analyses and reports as requested
- Assist with audits and ensure compliance with financial policies and procedures
- Assist with filing, scanning, and other administrative tasks as needed
- Backup for processing employee payroll if Accounting Manager is not able.
- Support other accounting staff as necessary
- Other duties assigned by management.
ACCOUNTABILITY
- Accounting Principles, Quality & Customer Experience Control, Record Keeping.
SUPERVISORY RESPONSIBILITIES
- This position does not have supervisory responsibilities but will work closely with staff.

EDUCATION AND/OR EXPERIENCE
Associate degree in accounting, business or equivalent work experience. 2-3 years’ experience with accounts payable or general accounting. Demonstrated experience maintaining accounting records in a small to mid-size company.
LANGUAGE SKILLS
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups, clients, customers, and the general public. Bi-lingual is an added plus.
MATHEMATICAL SKILLS
Ability to apply mathematical concepts.
REASONING ABILITY
Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions and deal with several abstract and concrete variables.
COMPUTER SKILLS
To perform this job successfully, an individual should have knowledge of Database software; Excellent computer skills including Excel, Word and other programs as needed and ability to learn new software.
