Summary

The Quality Systems Manager is responsible for ensuring the company’s processes and procedures for conducting background checks meet regulatory requirements, industry standards, and client expectations. This role is essential in maintaining the integrity and reliability of our screening processes while ensuring the protection of the rights of individuals whose information is being screened.


Responsibilities

  • Establishes, implements, and maintains a quality management system tailored to the specific needs of Asurint’s background screening operations, which includes processes for data collection, verification, analysis, and reporting.
  • Ensures Asurint’s background screening processes comply with all relevant federal regulations, including the Fair Credit Reporting Act (FCRA), Equal Employment Opportunity Commission (EEOC) guidelines, and any state, local, or international regulations applicable to the company’s business.
  • Evaluates and improves background screening processes on a continuous basis in order to enhance efficiency, accuracy, and compliance. This could include the implementation of new technologies, refining verification procedures, streamlining reporting processes, or other enhancements.
  • Conducts regular audits of background screening processes to identify areas for improvement and ensures adherence to quality standards. These audits could include internal examinations as well as external audits by regulatory agencies or clients.
  • Provides training to staff involved in background screening activities to ensure they fully understand relevant regulations, quality standards, and best practices on key topics including data privacy, accuracy requirement, and ethical considerations.
  • Monitors client satisfaction with background screening services and addresses any quality-related concerns or issues. Actively seeks feedback from clients to identify opportunities for improvement and implements corrective actions as needed.
  • Identifies potential risks and vulnerabilities in background screening processes, such as data security threats, legal, or compliance concerns. Develops risk mitigation strategies and contingency plans to minimize the impact of any adverse events.
  • Evaluates the performance of any third-party vendors or data providers Asurint may use to provide background screening services in order to ensure they are compliant with all contractual requirements and performance standards and addresses any quality issues that arise.

Requirements
  • Experience leading at the functional level is preferred.
  • Experience in a related professional field, with emphasis on quality and/or regulatory compliance is preferred.
  • Experience training and evaluating technical skills is required.
  • Experience with reporting and analytics, analyzing data, and presenting to management is preferred.
  • Experience with process design, implementation, and improvement is required.
  • Experience with the legal/court system is preferred.
  • Experience with background screening is preferred.
  • Proficiency in MS Office (Outlook, Excel, Word) or similar software is required. Relevant business management systems such as general ledger, HRIS, CRM, etc. is preferred.
  • Education: Bachelor’s degree in business administration or a related field is required.  
  • Certifications or licensure: Driver’s license and ability to maintain a driving record that is satisfactory to the company’s liability insurance carrier is required.
  • Years of relevant experience: 5 to 7 years is preferred.
  • Years of experience supervising: None.

Working Conditions

  • The work environment involves everyday risks or discomforts that require normal safety precautions typical of offices, including the need for general safe workplace practices with office equipment and computers, avoidance of trips and falls, and observance of fire regulations.
  • This position is performed remotely within the United States or in an office setting in the Cleveland, Ohio headquarters, although off-site meetings in various settings may occur.
  • Inside Asurint’s office environment, the noise level is usually quiet to moderate.
  • In a remote setting, the employee is responsible for maintaining a safe and secure work environment, for arranging the off-site workspace in an ergonomically sound manner, and for maintaining standard Internet speeds in order to work effectively.   
  • In a remote setting, the employee is required to ensure that all equipment and records that are the property of Asurint but have been relocated to the off-site workplace, are maintained in a safe and secure manner and are used only for business purposes. 
  • The schedule is generally normal Eastern Time Zone business hours (unless otherwise communicated based on position or working location), although the employee may be required to perform work, attend meetings and events before or after normal workings hours, and occasionally on weekends and evenings. 
  • Some travel by personal automobile and a valid driver’s license is required. Occasional overnight travel may be required.
  • Ability to lift light objects (less than 20 pounds) and carry them short distances (20 feet or less) is required.
