Position Description
U.S. Soccer is hiring a full-time Receptionist/Office Assistant in our Chicago office.  As a member of the HR Department, the Receptionist/Office Assistant will play a key role in creating a positive first impression for our guests and providing exceptional customer service as the first point of contact for all visitors and callers. This position will be temporary until our relocation to Fayetteville, GA when the construction for the National Training Center is complete. 


Primary Responsibilities 

Reception:

  • Oversee coverage for front desk at all times during regular work hours 
  • Greet and welcome guests when they arrive at the office
  • Answer, screen, and forward incoming phone calls
  • Connect or direct visitors and callers to the appropriate person and/or office
  • Provide basic and accurate information in-person and via phone/email such as company address, directions to the company location, company website and other related information
  • Assist with opening and closing office procedures
  • Maintain a tidy and organized reception area


Office and Event Logistics:

  • Support and oversee conference room bookings for meetings and events in the Chicago office
  • Provide event planning support for year-round employee engagement related events such as contracting, scheduling, and coordinating with employees (watch parties, holiday parties etc.) 
  • Support set up for the biweekly All-Staff meeting
  • Organize and coordinate office happy hours
  • Coordinate weekly lunch order for the staff in the Chicago office 
  • Facilitate and intercept ad hoc catering orders for meetings in the Chicago office
  • Serve as main point of contact with the building and security and send building communication updates to employees
  • Manage the organization of storage areas 


Administrative Support:

  • Receive and/or distribute daily mail and deliveries including UPS packages, FedEx pickups, and FIFA documents 
  • Keep track of incoming and outgoing deliveries 
  • Manage and facilitate Executive Leadership Team shipping needs 
  • Order, receive, stock and/or distribute basic office and mail supplies
  • Support recruiting needs through candidate scheduling visits, interviews, travel and accommodations
  • Support HR in new hire onboarding 
  • Perform other clerical duties such as filing, photocopying, faxing, transcribing, filing, ordering business cards and collating (e.g., Accounts Payable mailers, holiday card mailers) 
  • Consistent and timely processing of invoices (Chrome River)
  • Manage Executive gifting inventory
  • Coordinate and distribute organization wide holiday cards 
  • Consistent and timely correspondence with multiple Outlook inboxes
  • Other duties and projects as assigned 
Requirements

Minimum Qualifications 

  • Bachelor’s degree required
  • 1-3 years of customer service, administrative assistant, or reception experience preferred 
  • Display a positive attitude and interpersonal skills 
  • Strong attention to detail and problem-solving skills
  • Ability to handle multiple tasks at one time
  • Professionalism and the ability to maintain confidentiality 
  • Experience with Microsoft Office (Excel/Outlook) and Adobe
