Under the direction of the District VP of Operations, the Associate Executive Director is responsible for promoting, developing, and overseeing activities associated with a variety of program areas that could include Membership, Aquatics, Wellness and Youth Development (Early Education, School Age Childcare, Summer Camp, Sports, Arts & Humanities and Teens) with a focus on coaching, mentoring and managing direct reports and the operations team. Directs and supports aspects of membership and program development for the Branch including recruitment of new members, retention of existing members and supervision of assigned staff.
ESSENTIAL FUNCTIONS:
1. Supports all youth development programing in partnership with the District VP of Operations.
2. Ensures high quality member-focused programs through innovative program development, evaluations and on-going training of staff.
3. Develops and directs high quality member focused strategies using innovative program development, evaluations and on-going training of staff that support Branch and Association goals and strategies.
4. Recruits, hires, trains, develops and directs employees and volunteers. Reviews and evaluates staff performance. Develops strategies to motivate staff and achieve goals.
5. Develops, manages, and monitors assigned operating budgets to meet or exceed targets. Recommends adjustments to the budget to assure a balanced operation and submits reports on current operations.
6. Supports onsite social responsibility initiatives based on community needs.
7. Develops, implements, and manages operating plans to promote membership and program growth in harmony with overall YMCA objectives.
8. Develops strategies that support recruitment of new members and retention of existing members. Create a member-focused culture and models relationship-building skills (including Listen First) in all interactions. Fosters a climate of innovation and resolves problems to ensure member satisfaction.
9. Promote program and membership enrollment in interactions with existing and potential members.
10. Supports program registration, including logistics to facilitate phone, walk-in and online registration in conjunction with Senior Director of Membership.
11. Coordinates efforts with Marketing to maximize enrollments and provides ongoing support to Branch Program Directors and lead staff on related issues.
12. Supports Senior Director of Membership with daily deposits, review daily cash reconciliation, follow-up on collections of returned drafts/returned checks and audit petty cash.
13. Ensure proper implementation of welcome desk procedures in conjunction with Senior Director of Membership. Review and update desk procedures and communicates changes to staff.
14. Coordinates with the finance office as necessary on financial transactions.
15. Organize membership events at the YMCA and represents the YMCA at community events to promote the YMCA
16. Provide oversight for Financial Assistance including but not limited to: intake of applications, committee meetings, as well as administrative tracking of application approval and denials.
17. Develops, plans and implements new procedures and methods to achieve strategic goals.
OTHER DUTIES:
1. Maintain organizational staff certifications.
2. Responsible for complying with all Greater Somerset County YMCA Policies and Procedures. Ensures that YMCA program standards are achieved and safety procedures are observed.
3. Assures compliance with federal, state and local regulations as they relate to all program areas, including ADA accommodations where appropriate.
4. Assist with collaborating and building relationships within Branch, Association and community organizations and committee support, in accordance with strategic and operating plans.
5. Actively participate in trainings, seminars, special events, and meetings as required.
6. Represents and promotes the YMCA in the local community and develops positive working relationships with other organizations, businesses, and governmental entities.
7. Develops and maintains collaborative relationships with community agencies in service delivery area.
8. Provides staff leadership for annual campaign.
9. Serves as a member of YMCA management and supports the overall objectives of
the YMCA.
10. Adheres and incorporates the YMCA values of caring, honesty, respect, and responsibility and educates members about the YMCA mission and goals.
11. Performs other duties as assigned by the District VP of Operations
QUALIFICATIONS:
· Bachelor's degree in human services, recreation, business or a related field,
or equivalent, preferred.
· Five or more years of management experience, preferably in a YMCA or other nonprofit agency.
· Ability to direct assigned operations including volunteer development, supervision
of staff, development and monitoring of budgets, marketing and public relations,
and program development.
· Prefer knowledge of, and previous experience with, diverse populations
· Ability to establish and maintain collaborations with community organizations.
· YMCA Team Leader or Multi-Team/Branch Leader certification preferred.
· Supervisory experience in a member/customer service related role required
· Experience directing youth programming.
· Superior leadership and interpersonal skills and the ability to work well with staff and interact with membership.
· Must have flexibility in work schedule and expectations to work evenings and some weekends.
· Excellent organizational, member engagement, staff development, administrative and communication skills
· CPR and First Aid certifications may be required.
· Has solid working knowledge of Microsoft Word/Excel as well as good administrative skills.
