Job Summary: The Referral Coordinator is responsible for providing clerical and excellent customer service to patients and physician teams. This position required you to obtain all required information from referral sources and from the patient, electronically provide patient registration paperwork to the patient and input patient information into our system. This position requires an excellent communicator who is able to act in a courteous manner while communicating with individuals representing all professional levels. This position will also generate and manage correspondence as directed as well as retrieving, filing, and delivering medical records and their components in a timely manner and in accordance with State, CMS, HIPAA, and HHS regulations.
Major responsibilities/Essential Functions:
- Coordinates clinic appointments (new patients, rechecks and follow ups) and referrals and enters appointments and cancellations into scheduling system.
- Assists referred patients with logistical scheduling questions and concerns.
- Enter referred new patient information into system, email, fax or mail patient paperwork.
- Obtain authorizations for Workman Compensation patients and manage information requests and correspondence for worker’s compensation adjustors and case managers.
- Obtain authorization for Veteran’s utilizing their VA benefits. Manage information requests and correspondence from the VA Community.
- Maintain knowledge of what insurance plans the doctors are contracted with. Obtain insurance cards for all appointments.
- Maintains knowledge of physician preferences and availability; maintains schedules and availability for appointments in scheduling system for referred patients.
- Receive and designate phone calls with appropriate physician or direct to proper personnel.
- Track referrals and correspondence with referred physicians.
- Communicate with teams in regard to meeting physician requirements for scheduling.
- Demonstrates knowledge and understanding of patient privacy rights.
- Maintains confidentiality of all medical, financial, or other sensitive materials and information in printed, electronic or verbal form which may jeopardize the privacy of patients.
- Demonstrate knowledge and compliance with the Health Information Portability and Accountability Act (HIPAA) and HHS ordinances.
- Answer inquiries from medical staff, department personnel, and billing personnel, regarding general referral inquiries; obtain and submit referral documentation as required.
- Resolve any problems with clinic staff regarding referrals and ordered services for referred patients.
- Review and screen incoming referral records for appropriate documentation.
- Assists with maintenance and care of departmental facilities, equipment, and supplies. Informs supervisor of items not in stock. Alert supervisor to malfunction of office equipment.
- Ensure accuracy and integrity of the medical record prior to billing.
- Maintain good working relationships within the department and with other departments. Ability to work independently and collaboratively to provide exceptional patient care.

Knowledge, Experience and Skill Requirements:
- High School Diploma or equivalent required; one year of clerical experience in a medical facility.
- Demonstrated excellent customer service and communication skills.
- Knowledge of 10 key-Microsoft Office products required.
- Knowledge of medical insurance billing preferred.
- Completion of medical terminology, privacy, or HIPAA course preferred.
- Excellent organization, communication (both written and verbal), and interpersonal skills required.
- Proven history of ability to multi-task and work in a fast-paced environment; excellent critical thinking skills, ability to work independently, punctuality, and manage time effectively.
- Demonstrated problem solving and workflow management skills required.
- Must be energetic, quality driven and have proven ability to be productive member of a cohesive team of peers dedicated to providing optimum patient care.
- Must maintain a professional attitude towards patients and an excellent and collegial working relationship with other Steadman Clinic, Steadman-Philippon Research Institute, and hospital personnel involved in delivering patient care.
