 JOB TITLE: Internal Communications Specialist

DEPARTMENT: Administration

REPORTS TO: Director of Human Resources

STATUS:  Exempt

SUMMARY: The Internal Communications Specialist is responsible for the organization's creation, oversight and execution of the internal communications strategy. Reporting into the Director of HR, this individual works closely with members of the leadership team to ensure messaging consistency across all internal platforms. With thorough understanding of all internal communication platforms, the Internal Communications Specialist is an expert in current communication trends and how to adjust them for multiple audiences to maximize effectiveness. Additionally, there is deep understanding on how to effectively use metrics to measure employee engagement to guide communication strategy.
ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Prioritizes continued learning about the organization, using business acumen to shape communications strategy
  • Creates and maintains an internal communications calendar to ensure streamlined, effective and timed sending with proper      use of communication guidelines and messaging consistency
  • Possesses deep understanding of all internal communication platforms and the organization's tech stack at large,  providing best practices on platform use and integration to optimize  communications, making it easy for employees to find information 
  • Oversees the employee intranet with direct responsibility for keeping content current, making recommendations on user      design experience, training employees and content creators on how to  create and/or access information and working with technical contacts to ensure backend systems are kept up-to-date
  • Uses metrics to measure employee engagement to guide the communications strategy and implement best-in-class communications with leadership across the organization
  • Supports CEO and executive leadership team communications, including emails, assets, Town Hall events, large internal      employee meetings, board meetings, presentation delivery and, at times, external speaking engagements
  • Manages the CEO's LinkedIn account and posts, working closely to deliver messaging that is relevant and aligned to both internal and external audiences
  • Knows how to leverage technology to optimize  communication experiences across the organization
  • Understands design best practices and presentation creation to create and/or work with a design team to create engaging and      dynamic on-brand communication assets
  • Manages internal crisis and issues communications, ensuring timely and accurate information dissemination and works with      Marketing to manage external affairs when appropriate
  • Leverages social media channels to support the internal communications strategy effectively
  • Partner with managers to assist in activities and efforts that will keep staff engaged and connected to PHS’ mission.

QUALIFICATIONS:

EDUCATION AND/OR EXPERIENCE:

Bachelor’s degree in Communications or related field and three years of experience

LANGUAGE SKILLS:

Ability to read and interpret documents. Ability to write routine reports and correspondence.

Ability to speak effectively before groups of customers or employees of organization.

REASONING ABILITY:

Ability to solve practical problems and deal with a variety of concrete variables in situations

where only limited standardization exists. Ability to interpret a variety of instructions furnished

in written, oral, diagram, or schedule form.

COMPUTER SKILLS:

To perform this job successfully, an individual should have the ability to gain knowledge of

current practice management system, electronic medical record, Microsoft Word, text paging,

Internet, and Intranet.

OTHER SKILLS, KNOWLEDGE AND ABILITIES:

Superior writing, editing and oral communication skills. Strong project management skills with the ability to multi-task. Experienced content creator. Ability to effectively communicate. Experience overseeing internal communications platforms, Microsoft Teams, digital signage, social media, marketing and automation platform. 

General understanding of best practices on LinkedIn, Facebook, TikTok & Instagram.

Basic design knowledge and ability to use Adobe Creative Cloud.
