Leasing Waitlist Associate

Description

The Leasing Waitlist Associate reports to the Section 8 Manager within Fairstead Property Management. This position is primarily responsible for the implementation of centralized maintenance of data pertaining to individual property applicant waitlists for portfolio. The Leasing Waitlist Associate will work closely with the Leasing Director, Leasing Director Assistant, Community Manager, Assistant Community Manager, and other staff assigned to lease-ups, where applicable. 


RESPONSIBILITIES:  

  • Acts as first point of contact with all housing applicants 
  • Initiates calls to applicants on lottery list 
  • Conducts phone calls in a courteous and pleasant manner 
  • When working on-site, may meet with prospective tenants 
  • May assist leasing and lease-up site staff in scheduling intakes 
  • Must have experience with EIV
  • Pulls appropriate batches for processing applicants 
  • Maintains “Intake Manager” and works closely with both IT and Data on continuous improvements to the system 
  • Tracks and documents all responses in tracking software 
  • Generates and/or tracks denial and outcome letters 
  • Ensures accurate final waiting list 
  • Demonstrates professionalism through a positive and cooperative attitude and by maintaining the confidential and proprietary nature of applicant/staff relationships and related work product 
  • Contributes to the overall success of the Compliance Department and Property Management Division by developing a thorough understanding of FM Property Management’s methodologies, tools, policies and procedures 
  • Continuously keeps team members informed of work status and proactively seeks opportunities to collaborate and aid as needed 
  • Proactively works toward finding new approaches to improve, streamline, and automate the waitlist management process 
  • Performs other assignments as requested

Requirements

QUALIFICATIONS: 

  • High School diploma and minimum one-year related work experience in leasing affordable housing units or similar position, or an equivalent combination of education and relevant experience 
  • Outstanding communication skills, both verbal and written 
  • Excellent negotiation and problem-solving skills 
  • Strong people skills 
  • Ability to work with people of diverse backgrounds 
  • Able to multi-task in high energy environments 
  • Proficient at Microsoft Office Suite (Word, Excel, Teams, Outlook) 
  • Strong analytical and time management skills, as well as ability to prioritize and manage multiple projects under tight deadlines 
  • Ability to travel between properties
