Description

Position Objective:

PETA is seeking a dynamic and motivated Executive Assistant to join our Celebrity Relations team. As our Executive Assistant, you will play an essential role in coordinating photo and video shoots, special events, and gift mailings to our celebrity supporters. You will have the opportunity to represent PETA on set and at events, building relationships with talent, their teams, and other industry professionals to expand our reach and promote our mission. 


Primary Responsibilities and Duties:

• Help coordinate celebrity photo shoots, video shoots and special events. We’ll look to you to make the important arrangements (think location, location!) to fulfil necessary tasks for the event like research, coordinating catering, vendors and permitting

• Represent PETA on set, at events, and in meetings to make connections with talent, their teams, and other professionals outside of the organization to further develop our relationships and expand our reach

• Reach out to talent representatives to coordinate gift mailings to further develop those relationships and cultivate future partnership opportunities

• Work with PETA’s Social Media team to create tailored content for celebrity campaigns and other celebrity-driven initiatives, mainly through Asana requests

• Coordinate celebrity mailings and gifts, draft notes, and maintain product inventory and Excel inventory sheets 

• Maintain contacts, correspondences, files, and research in the Communications Department databases—including archiving and organizing all files

• Assist in the development of strategic plans for celebrity campaigns, events, and initiatives, providing insights and recommendations based on industry trends

• Collaborate with the team to identify new opportunities for celebrity engagement

• Assign, organize, and keep track of various celebrity relations tasks in Asana and follow up with the assignee accordingly

• Assist with drafting language for celebrity campaign outreach 

• Create, update, and organize celebrity and other department lists

• Process invoices to vendors and credit card expense reports for the department

• Schedule meetings and take clear and comprehensive meeting notes to distribute to appropriate staff

• Maintaining the department’s safe shoot supplies and updating compliant procedures, where applicable

• Research and develop opportunities to promote PETA's programs and presence

• Monitor and distribute news relevant to the Celebrity division from various industry news outlets (e.g., Billboard, E! News, People, The Daily Mail, TMZ.com, Variety, Deadline, The Hollywood Reporter, The Wrap, etc.)

• Track PETA's celebrity supporters and sympathizers, award show nominee announcements and winners, tours, and details of celebrity events local to LA and in other designated cities

• Perform any other duties assigned by the department or supervisor

Requirements

• Bachelor's degree in a related field or equivalent experience

• Minimum of two years of high-level administrative support experience

• Minimum of one year of experience working with celebrities and the media

• Extensive knowledge of the entertainment industry

• Extensive knowledge of animal rights issues and PETA campaigns

• Ability to anticipate needs of the department, and to think and act five steps ahead

• Demonstrated effective online research skills

• Demonstrated exceptional written and verbal communication skills

• Proven excellent organizational skills and meticulous attention to detail

• Demonstrated ability to take initiative and follow through

• Must be a self-starter, who is able to make sound judgments and work independently

• Proven ability to work well under pressure and meet tight deadlines

• Proven ability to deal with a variety of people in a professional manner, with confidentiality at all times

• Proficiency in Outlook, and bonus points for experience working in Salesforce

• Must be at least 21 years of age and have a valid U.S. driver's license, a minimum of three years of driving experience, and a satisfactory driving record

• Must own or have access to a reliable car, as driving will be required for the position, sometimes on a moment's notice, and often

• Support for PETA's philosophy and the ability to advocate PETA's positions on issues professionally, with adherence to a vegan lifestyle

The hourly pay range for this position is $19.06 - $20.09 per hour. The ultimate hourly pay within this range that will be offered to a qualified candidate will be determined based on the candidate’s experience and the cost of living in the area in which the candidate will live and work.
