POSITION SUMMARY


The Safety Coordinator is responsible for promoting a strong safety culture through compliance with FMCSA and other state/ local highway safety agency regulations. Responsibilities include daily review of company safety reports and records, identifying areas flagged for compliance review, overseeing maintenance of driver qualifications files, enforcing hours of service regulations and directing safety training programs. The Administrator also provides assistance and direction to all locations with regard to maintaining HOS, driver qualification, auditing and training records. This position will work closely with Director of Safety and participate in daily meetings to discuss CSA and safety matters.


ESSENTIAL JOB FUNCTIONS FOR THIS POSITION:

1. Monitor Hours of Service (HOS) Compliance. Tasks include but are not limited to:

  • Daily review of reports for HOS violations
  • Request, from Venture drivers, documentation to confirm driver hours
  • Evaluate documentation and verify driver violations
  • Send violations notices and follow-up with Driver management to document corrective action
  • Respond to field questions regarding HOS systems and procedures

2. Ensure Driver Qualification Compliance. Tasks include but are not limited to:

Motor Vehicle Record (MVR) Compliance:

  • Review for proper handling by Driver management
  • Notify Driver Management of possible problems
  • Follow-up on suspended, revoked or invalid drivers
  • Assist in maintaining MVR file Reviews

DOT Physicals:

  • Review
  • Verify spreadsheet records are correct
  • Notify Driver Management of Incorrect Physicals
  • Assist in maintaining Driver Physical files

Invalid Driver Report

  • Monitor report and identify drivers in possible violation
  • Verify drivers in violation
  • Follow-up with Driver Managers on drivers in violation

Skills Performance Evaluations (SPE) / Medical Waivers

  • Determine need for SPE / Medical Waivers
  • Review DOT Physicals
  • Notification from terminal
  • Follow up with terminal to obtain copy of the current SPE / Medical Waiver and copies of expired previous waivers to show continuity of records to Compliance Review Audits
  • Assist in maintaining tracking files
  • Report status of the program to the Director – Safety periodically

3. Monitor all Venture recording of training. Tasks include but are not limited to:

  • Assist terminal in meeting due dates through reminders and data entry
  • Assist all Venture employees and provide training tools

4. Driver Log Compliance – FMCSA Compliance Review Audit Item:

  • Receive monthly records
  • Time stamps Clock in and Clock out times
  • Ensure compliance of HOS
  • Auditing completed E-Logs
  • Verify correct format of submissions
  • Log arrival dates
  • Assist in maintaining filing system for E-Logs period of six months

5. Complete all aspects of the drug testing program for Venture (random, MVR, New hire, etc.) Audit vendors to ensure top quality and best price


6. Maintain Driver/Vehicle Inspection Reports – FMCSA Compliance Review Audit Item

  • Review received reports
  • Assist in maintaining log of inspection reports received
  • Process reports as required by FMCSA
  • Validate correction of violations
  • Sign and return the reports to the state
  • Notify terminal of driver violations
  • Notify other units of violations
  • Hazmat violations go Venture
  • Equipment issues go to Equipment Manager
  • Follow up with location for delinquent reports submission issues
  • Cross reference received reports with national online database
  • Follow up to ensure receipt of all inspection reports from your location
  • Follow up on delinquent notices received from the states

7. Recognition Programs – Location

  • Maintain spreadsheets for monthly data input
  • Miles driven
  • Preventable accidents
  • Perform data gathering, data entry and update /maintain accident file and register

8. OSHA Annual Survey – OSHA Mandated

  • Receive reports from all Venture locations of self-inspection checklist
  • Collate information from OSHA 300 forms
  • Prepare submissions to Bureau of Labor Statistics (BLS)

9. Fines and Citations

  • Receive notices from jurisdictions issuing the citation
  • Overweight notices
  • Parking violations
  • Toll booth fee
  • Other fines Forward to the designated point of contact Follow up for verification of payment of fines and fees

10. Maintain regular and predictable attendance.

  •  Comply with company policies and procedures and all applicable laws and regulations.
  • Additional duties as assigned.
Requirements

REQUIRED EDUCATION / EXPERIENCE

  • Associates Degree or the equivalent of 5 years’ experience.

PREFERRED EDUCATION / EXPERIENCE

  • Associates Degree in related field +5 years’ experience in safety.
  • Bachelor’s Degree and Environmental Experience highly preferred.

REQUIRED SKILLS (TECHNICAL, CLERICAL, LANGUAGE, ETC.)

  • Experience in the field of communications.   
  • Experience in the transportation field.
  • Working knowledge of the Federal Motor Carrier Safety Regulations and the Hazardous Materials Regulations.
  • Must possess strong verbal communication and written skills.
  • Must possess strong Microsoft Office (Word, Excel & PowerPoint) Skills

PREFERRED SKILLS (TECHNICAL, CLERICAL, LANGUAGE, ETC.)

  • Safety Management Training.

PHYSICAL DEMANDS

Sitting for long periods of times and standing for long periods of time.


WORK ENVIRONMENT

Primarily office environment but may also be required to encounter adverse weather and conditions.
