The Gist…

The Project Coordinator will play a key role in supporting   the VP of National Security and the Delivery team by providing vital PMO   support. This individual will ensure the smooth operation of various project   management functions, act as a bridge between internal teams, and help ease   the administrative burden on team members. The Project Coordinator will also   be responsible for standardizing project management processes and templates,   ensuring consistent and efficient project execution.


What Your Day Might Include…

  • Facilitate and oversee the onboarding process   for new programs by coordinating between multiple teams, ensuring that all   necessary tools, documents, and processes are in place. 
  • Prepare program onboarding orientation   materials, setting up initial meetings, ensuring program objectives are   clearly communicated, and tracking the progress of onboarding activities to   ensure a smooth transition into delivery.
  • Manage the end-to-end process for Government   Furnished Equipment (GFE) requests. 
  • Work closely with internal stakeholders and   government representatives to ensure that equipment needs are accurately   identified, requests are submitted and tracked, and deliveries are confirmed.   
  • Resolve any issues related to GFE and ensuring   compliance with government policies and timelines.
  • Serve as the liaison between the Talent   Acquisition, Delivery teams, and candidates by scheduling interviews, sharing   details, gathering feedback, and ensuring timely progression. Assist with   assessments and follow-up actions as needed.
  • Assist the security team in preparing and   verifying reports, ensuring compliance standards, and facilitating   communication between security and other departments to resolve issues.
  • Provide comprehensive administrative support   to Project Managers (PMs), including drafting meeting agendas, documenting   minutes, preparing project status reports, and following up on action items. Assist   PMs in staying on track with project timelines, deliverables, and   administrative requirements, allowing them to focus on high-level project   execution.
  • Serve as the first point of contact for   internal customers, ensuring that all requests and queries are managed   effectively. This involves triaging issues, providing timely responses, and   escalating concerns when necessary. 
  • Act as a key interface to help maintain strong   relationships between different internal teams and departments.
  • Lead the development and implementation of   standardized project management templates and tools. This includes creating   or refining templates for project charters, status reports, risk logs, and   other key documents in alignment with Project Management Professional (PMP)   standards. 
  • Improve consistency, efficiency, and quality   across all projects, enabling teams to focus on execution rather than   administrative setup.
  • Proactively identify opportunities to reduce   the administrative workload on team members by streamlining processes and   implementing more efficient workflows.
  • Automate repetitive tasks, refining   reporting processes, or take over specific administrative tasks to free up   time for project teams to focus on delivery and innovation.


Requirements

You’ll Bring These   Qualifications…

  • Bachelor’s + 3 years of experience OR equivalent experience in leu of degree
  • Must be able to travel to Reston, VA office a min of 2x per week
  • US Citizenship required to support government contracting company
  • Strong organizational and multitasking skills with a keen attention to detail.
  • Familiarity with PMP methodologies and best practices.
  • Excellent communication skills, with the ability to interface effectively with internal customers and stakeholders.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and project management tools.
  • Ability to work independently and as part of a collaborative team in a fast-paced environment.

Preferred Qualifications:

  • PMP certification or equivalent project management certification.
  • Experience working in the National Security sector.
  • Familiarity with Government Furnished Equipment (GFE) processes and security protocols.
