Executive Assistant to the CEO

Description

SHINE Technologies is immediately seeking an Executive Assistant to provide the CEO support by performing a wide range of administrative activities, including: strategic calendar management; travel arrangements, meeting planning and support, correspondence, time management, stakeholder management, preparation of reports, and performance of a wide range of critical clerical and management duties.


Responsibilities of the Executive Assistant to the CEO include, but are not limited to:

  • Plans, coordinates, and ensures the effective and efficient use of the CEO's time. 
  • Assists the CEO with a broad variety of administrative tasks that include managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries and agendas and compiling documents for meetings.
  • Prioritizes conflicting needs, prompt, proactive, and capable of following through on projects to successful completion, often with competing deadlines.
  • Coordinates meetings and strategic activities with the senior leadership team.
  • Assists/supports members of executive team with specific tasks as directed by the CEO.
  • Scheduling of board subcommittee meetings, surveying committee members. 
  • Serves as the CEO’s administrative liaison to the Board of Directors and manages Board activities. 
  • Coordinates Committee, subcommittee and ad-hoc meetings and maintains confidential files and contact information.
  • Serve in various other capacities as needed to ensure the CEO can remain focused on the company's strategic priorities.


Requirements
  • Five to seven years providing executive admin support.
  • Very strong organizational and communications skills
  • Proficient in modern office technologies, applications, and tools.
  • Ability to respond to urgent requests and issues that may arise outside of standard business hours.
  • Adept at building knowledge networks.
  • Ability to use sound judgement in decision making, analytical thinking, and strong attention to detail.
  • Proven ability to maintain strict confidentiality and discretion in communicating with others.
  • Remains positive and maintains high level of performance and professionalism under stressful conditions.

  

Eligibility for employment is conditioned on the applicant’s ability to qualify for access to information subject to U.S. Export Controls. Additionally, applicant’s eligibility may be conditioned based upon meeting the Nuclear Regulatory Commission requirements for access to Safeguards Information, which typically requires a pre-employment drug screen, fingerprinting and criminal background check.
