Position Summary
Manage all University business functions including reconciliation and tracking of the University Advancement Budget, Expense report process and submission, Process and submit purchase orders, P-card expenditures, invoice payments, Inventory and stock of office supplies; Stewardship letters for office of the President; Board of Trustee PPT and material prep for the VP of advancement, Travel coordination for VP and UA staff
Essential Duties and Responsibilities
1. Board of Trustee Prep and Interaction, support materials for Trustee Meetings.
2. University Advancement staff support:
- Expense report process and submit.
- Reconcile and track UA budget.
- P-card expenditures.
- Invoice payments.
- Introduce new staff to policies, procedures and general onboarding.
- Support cultivation events prep and registration.
- Inventory and maintenance of department office supplies.
- Other duties to support department.
3. Interact with the President’s office, Vice Presidents, Deans and other Leadership.
4. Maintain and coordinate Vice President’s calendar, travel.
5. Thank you letters for President’s office for major gift stewardship.
6. Prepare travel arrangements, conference registrations, hotel and air reservations for VP and other UA team members.
7. Communication with donors and outside constituents.
8. Draft and prepare Vice President’s correspondence, memos, and other written communication for internal and external use.
Minimum Qualifications
Education – A two-year college degree or completion of a specialized course of study at a business or trade school.
Experience – Two years to five years (Equivalent combination of education and employment).
Knowledge, Skills, and Abilities
Excellent skills with Microsoft Products, with emphasis on PowerPoint for Board Presentations.
Physical Requirements
Job may require lifting light weight objects (1 to 10 pounds) with no repetitive bending or stooping. Occasionally lift average weight objects (1 to 10 pounds).
Work Environment
Regular exposure to favorabl e conditions such as those found in a normal office.
Salary/Pay Information
Commensurate with experience
Anticipated Schedule
Part-time working 28 hours per week.
