Salary: $20.60 - $21.63

About the Role  

Are you passionate about creating a welcoming environment and providing exceptional administrative support? As an Office Assistant at 211 San Diego, you will be the first point of contact for visitors and callers, embodying our organization’s core values and ensuring a professional, well-functioning work environment. What You’ll Do  

As a key member of our administrative team, you will:  

  • Provide Exceptional Guest Experience:  
  • Greet visitors warmly and professionally, ensuring registration in the visitor log and issuing identification badges when necessary.  
  • Connect guests with the appropriate staff members or escort them to their destination.  
  • Answer the administrative line, responding to inquiries or transferring calls as needed.  
  • Create guest badges ahead of arrival.  
  • Maintain a Professional Environment:  
  • Ensure the reception lobby area is presentable and tidy, with appropriate messaging displayed.  
  • Conduct daily walk-throughs to ensure the office is clean and organized, including common areas and refrigerators.  
  • Restock supplies as needed.  
  • Support Meeting Logistics:  
  • Meet weekly with the Chief of Staff to review the upcoming meeting schedule.  
  • Coordinate facilities, technology, materials, and refreshments for meetings and events with the Executive Assistant.  
  • Administrative Support:  
  • Coordinate mail delivery and distribution, including sorting and delivering office supplies.  
  • Handle mailings for projects as needed.  
  • Photocopy documents for the Executive Team.  
  • Manage inventory and order office supplies, confirming deliveries via packing slips.  
  • Complete Purchase Orders for vendor purchases and expenses.  
  • Facilities and Operations:  
  • Assist with scheduling and coordinating repairs or renovation projects under the direction of the Facilities Director.  
  • Act as the point of contact for vendors and contractors related to facility maintenance.  
  • Communicate services provided to the finance department in a timely manner.  
  • Walk facilities with supervisors to identify maintenance needs and notify the Facilities Director of necessary repairs.  
  • Coordinate with the Day-Porter to ensure facility needs are met.  
  • Update the Facilities Manual with contact information and procedures for coverage purposes.  
Requirements

Qualifications 

  • High School Diploma or Equivalent required; some college coursework or experience in administration preferred.  
  • At least 2 years of experience in an administrative or customer service role.  
  • Strong communication and interpersonal skills.  
  • Ability to multitask and manage multiple priorities.  
  • Proficiency in MS Office Suite (Word, Excel, Outlook).  
  • Familiarity with inventory management and purchasing processes.

Additional Information 

  • Status: Non-Exempt, Full-Time  
  • Department: Admin./Finance Department  
  • Reports To: Office Manager  
  • Work Schedule: Typical schedule is 7:45 a.m. to 4:15 p.m., Monday through Friday. Flexibility is required, including potential weekend and holiday shifts. Must be responsive and available for shifts up to 12 hours during declared emergencies.  
  • Physical Requirements: Prolonged sitting at a desk and working on a computer, with repetitive motions involving wrists, hands, and fingers. Must be able to lift a minimum of 25 lbs.
