POSITION SUMMARY:

The Vocational Rehabilitation Technician supports individuals with disabilities in their employment journey by managing application processes and providing administrative assistance. The role includes maintaining client records, coordinating outreach events, and assisting with case management services. Effective communication with clients and community resources is essential to ensure individuals receive the necessary guidance and support.


DUTIES/RESPONSIBILITIES:

  • Greet visitors and assess their needs to direct them to the appropriate office or individual for assistance.
  • Provide accurate information and respond to client inquiries, ensuring a courteous and helpful experience.
  • Receive applications and ensure that all necessary supporting documents are collected and organized for processing.
  • Advise clients on the required documentation for application completion, offering clear guidance throughout the process.
  • Notify applicants of their application status, communicating approvals or denials in a timely and professional manner.
  • Provide comprehensive administrative support, including filing, photocopying, and maintaining organized records.
  • Maintain accurate and up-to-date records of client case files and program grants, ensuring confidentiality and easy access.
  • Assist in organizing and coordinating meetings, workshops, and training sessions.
  • Submit payment requests with all required documentation, ensuring compliance with organizational policies.
  • Deliver or mail payments to vendors promptly, fostering positive relationships with external partners.
  • Engage in outreach activities to promote program information to potential clients and the community.
  • Support case management by coordinating client appointments and referrals to appropriate services.
  • Assist the Vocational Rehabilitation Director with scheduling, administrative tasks, and special projects as needed.
  • Other duties as assigned.

  • Ability to provide clear guidance and support throughout application processes.
  • Proficiency in administrative tasks such as filing, photocopying, and data management.
  • Familiarity with community resources and services for individuals with disabilities.
  • Flexibility to assist with various tasks and adapt to changing priorities.
  • Experience in coordinating events and workshops to engage clients and promote programs.
  • Commitment to maintaining confidentiality and professionalism in all interactions.
  • Ability to build and foster positive relationships with external partners and vendors.

EDUCATION & EXPERIENCE:

  • High school diploma or equivalent required.
  • Relevant experience in administrative support, customer service, or case management, ideally within a nonprofit or healthcare environment.
  • Knowledge of vocational rehabilitation practices and familiarity with community resources for individuals with disabilities preferred.

PHYSICAL REQUIREMENTS:

  • Ability to sit or stand for extended periods while performing administrative tasks.
  • Proficiency in using standard office equipment, including computers, printers, and phones.
  • Capability to lift and move documents and supplies weighing up to 20 pounds.
  • Dexterity for typing and performing tasks requiring fine motor skills, such as filing and data entry.
  • Ability to travel locally for outreach events and client appointments as needed.

CONDITIONS OF EMPLOYMENT:

  • Successful completion of applicable tribal drug test.
  • Successful completion of applicable tribal background check.
  • Must pass background investigation for suitability of character identified in accordance with the Indian Child Protection and Family Violence Prevention Act.
  • Possess and maintain a valid driver's license with no serious violations.
